The IT Specialist plays a critical role in maintaining the company’s day-to-day technology operations and supporting a growing, distributed workforce. This role manages office-hosted computers and remote access environments, company software and subscriptions, data backups, and technology implementations to ensure systems remain secure, reliable, cost-effective, and available to the teams that depend on them.
The IT Specialist is responsible for the lifecycle management of company computers, software, subscriptions, backups, and related IT services. This includes setting up, provisioning, maintaining, supporting, and deprovisioning onsite computers that may be accessed remotely by employees and contractors. The role also oversees software licenses and subscriptions, evaluates usage and cost, maintains backup processes, supports new technology implementations and migrations, and documents IT assets, configurations, and procedures.
Responsibilities

- →Set up, configure, provision, and deploy new computers, peripherals, user accounts, and remote access tools based on approved business requirements.
- →Maintain an accurate inventory of company IT assets, including device location, assigned user or team, specifications, serial numbers, warranty status, installed software, and access status.
- →Monitor the availability, performance, and condition of office-hosted computers and promptly resolve hardware, software, network, and remote access issues.
- →Perform preventive maintenance, operating system and software updates, security patching, hardware upgrades, and other routine endpoint management activities.
- →Coordinate device repairs, replacements, warranty claims, and vendor support when issues cannot be resolved internally.
- →Support employee and contractor onboarding, transfers, and offboarding by provisioning or removing access, transferring company data, and preparing devices for reassignment.
- →Establish and maintain secure remote access configurations, ensuring access is limited to authorized users and revoked promptly when no longer required.
- →Provide technical support and troubleshooting for onsite and remote team members, prioritizing and resolving issues based on business impact.
- →Maintain clear documentation for device configurations, approved access, asset history, support procedures, and other recurring IT processes.
- →Maintain a centralized register of company software, SaaS subscriptions, licenses, renewal dates, owners, costs, billing terms, and approved users.
- →Monitor subscription status and license utilization to identify inactive users, duplicate tools, underused licenses, and opportunities to improve value.
- →Prepare recurring subscription cost and usage reports with recommendations to renew, consolidate, downgrade, expand, renegotiate, or cancel services.
- →Coordinate subscription renewals and license changes to prevent service interruptions while ensuring required approvals and budget alignment.
- →Manage backup processes for company content, systems, and critical business data, including backup schedules, retention requirements, storage locations, and access controls.
- →Regularly verify that backups complete successfully and perform restoration tests to confirm that critical information can be recovered when needed.
- →Investigate and resolve backup failures, storage capacity concerns, and data recovery issues, escalating material risks to management.
- →Lead or support the implementation, setup, migration, transfer, and rollout of new software and technology tools required by the company.
- →Configure permissions, integrations, data transfers, testing, user access, training resources, and support handoffs for new technology implementations.
- →Coordinate with internal stakeholders and external vendors to define technical requirements, implementation timelines, responsibilities, and acceptance criteria.
- →Support company security and compliance requirements by applying approved access controls, multi-factor authentication, endpoint protection, least-privilege practices, and secure configurations.
- →Identify technology risks, capacity needs, single points of failure, and cost-saving opportunities, and recommend practical improvements to management.
- 3+ years of experience in IT support, systems administration, endpoint management, IT operations, or a related technical role.
- Hands-on experience setting up, maintaining, and troubleshooting Windows and macOS computers, peripherals, and common business applications.
- Experience managing office-hosted computers or workstations that are accessed remotely by distributed employees or contractors.
- Strong understanding of device provisioning, deprovisioning, user access management, patching, preventive maintenance, and asset inventory controls.
- Experience administering SaaS subscriptions, software licenses, renewals, user assignments, and recurring technology costs.
- Knowledge of backup systems, retention practices, restoration testing, data recovery, and basic business continuity principles.
- Experience implementing or migrating business software, including configuration, permissions, data transfer, testing, rollout, and user support.
- Working knowledge of IT security practices, including multi-factor authentication, least-privilege access, endpoint protection, secure remote access, and account lifecycle management.
- Strong troubleshooting skills with the ability to isolate and resolve hardware, software, network, access, and configuration issues.
- Highly organized and detail-oriented, with the ability to maintain accurate documentation, inventories, cost reports, and recurring operational schedules.
- Strong communication and coordination skills, with the ability to support technical and non-technical users and work effectively with vendors and internal stakeholders.
