The Rental Portfolio Manager is responsible for overseeing the end-to-end management of a portfolio of residential rental properties, ensuring client satisfaction, legal compliance, financial accuracy, and strong tenant relationships. The role balances strategic insight with hands-on operational execution, using WeConnectU and Redrabbit as key platforms.
Responsibilities
~1 min readManage all aspects of residential rental properties, including onboarding, inspections, renewals, and terminations
Draft and manage lease agreements, addendums, extensions, and terminations
Coordinate tenant onboarding with welcome letters and pre-occupation documentation
Track lease expirations, notices to vacate, and property turnover timelines
Serve as the main point of contact for landlords and tenants within your portfolio
Resolve complaints, address maintenance issues, and provide status updates professionally
Maintain clear and consistent communication with clients regarding financials, occupancy, and asset performance
Manage invoicing, recoveries (utilities, levies, rates), deposits, and payment reconciliations via WeConnectU
Monitor arrears and coordinate collection efforts, including letters of demand and legal proceedings where necessary
Prepare investor statements and manage refund processes accurately and timeously
Ensure all financial data is accurately captured, categorized, and reported in compliance with trust account regulations
Log and manage all maintenance through Redrabbit, coordinating with vendors for prompt resolution
Track completion, follow up with tenants, and ensure maintenance standards are upheld
Conduct or schedule property inspections at routine, pre-occupation, and exit stages
Ensure compliance with the Rental Housing Act, CPA, POPIA, and PPRA regulations
Collect and verify FICA documentation for all parties and maintain secure records
Attend AGMs or trustee meetings as a landlord representative when applicable
Coordinate eviction processes where required, including attorney liaison
Deliver regular performance reports to landlords (arrears, occupancy, inspection findings, maintenance status)
Analyze market conditions and advise on rental pricing, tenant retention, and portfolio optimization
Keep agent stock lists up to date and communicate new instructions to internal sales and rental teams
