Job Title: Case Lead

Position Summary:

Magna Legal Services is seeking a detail-oriented and proactive Case Lead to oversee the administrative process of retrieving requested records for our clients. In this role, you will be responsible for coordinating record requests with custodians via phone, email, and mail, processing payments, and ensuring the timely retrieval and submission of records. Your ability to communicate effectively, manage multiple tasks, and maintain accurate documentation will be critical to the efficiency of our operations. This position is on-site at our office in Houston, Texas.

  • Manage inbound and outbound calls in a professional and timely manner.
  • Maintain accurate records of all communications in our call center database.
  • Process and match custodian invoices with open orders, retrieving all supporting documents to authorize payments via portals, email, or mailed checks.
  • Communicate with custodians regarding record discrepancies, payment inquiries, and other related issues.
  • Retrieve records and ensure their proper submission to the production department.
  • Expedite record requests efficiently through phone, email, or online portals.
  • Identify and resolve issues that may arise during the record retrieval process.
  • Perform other administrative and case-related tasks as assigned.
  • Strong phone and verbal communication skills with active listening abilities.
  • Excellent attention to detail and accuracy in record-keeping.
  • Ability to multitask, prioritize tasks, and manage time effectively.
  • Proficiency in Microsoft Outlook, Word, and Excel.
  • Strong problem-solving skills and ability to work efficiently in a fast-paced environment.
  • Experience with MR8 software is a plus.
  • Ability to commute to the office in Houston, TX.
