The Warranty Administrator is responsible for processing warranty claims, credits, reconciliations, and related service documentation in accordance with vendor and manufacturer requirements. This role works closely with Technicians, Dispatchers, Parts, Service, and Field Service Managers to ensure warranty claims are accurate, timely, and maximize reimbursement opportunities while maintaining compliance with warranty guidelines.
- Review and process warranty claims in accordance with manufacturer and vendor requirements.
- Enter and verify technician labor data in Vendor Portals, ensuring accuracy and completeness.
- Work with Technicians and Service personnel to resolve documentation discrepancies.
- Monitor Work in Progress (WIP) dashboards and identify aging work orders requiring action.
- Monitor Service Center communications and provide updates as needed.
- Review warranty reconciliations and identify opportunities for revenue recovery.
- Process warranty offsets, credits, and matching warranty invoices accurately and timely.
- Ensure warranty projects and campaigns issued by manufacturers are assigned and completed properly.
- Follow, maintain, and train others on warranty procedures established by Toyota, Raymond, and other vendors.
- Highly organized and detail-oriented.
- Strong verbal and written communication skills.
- Proficient in Microsoft Office applications, particularly Excel and Outlook.
- Ability to work in multiple systems, spreadsheets, and reports simultaneously.
- Customer-focused mindset with strong follow-up skills.
- Ability to work independently and collaboratively across departments.
Requirements
~1 min read- High school diploma or equivalent required.
- Minimum two years of experience in a fast-paced, service-oriented business.
- Previous experience in a warranty, service administration, dispatching, parts, or customer service role preferred.
- Familiarity with computerized business systems and electronic recordkeeping.
- Proficiency with Microsoft Office applications.
- Ability to obtain forklift certification.
