Introduction

\r\n\r\n\r\nThe Maryland State Retirement Agency is the administrator of the Maryland\r\nState Retirement and Pension System (“System”). The System is a defined benefit\r\nretirement system covering governmental employees within the State of Maryland.\r\nIt’s composed of twelve (12) separate retirement and pension systems with over\r\n50 different rule sets. Main Purpose of Job

Responsible for assisting the Deputy Chief Investment Officer in directing and coordinating the activities of the Investment Division, which manages over $80 billion in assets. The Investment Division is delegated with the responsibility for the day-to-day investment of funds of the System in accordance with the policies, regulations and objectives formulated by the Board. The purpose of the position is to act as the Executive Assistant to the investment teams, coordinating meeting schedules and managing calendars, making travel arrangements according to policy and regulations, overseeing agendas and preparing minutes of Committee meetings, managing the reimbursements and invoices, and providing staff support and resources as needed to support to the diverse administrative functions relating to the Investment Division with responsibility for handling special and sensitive investment issues.\r\n

POSITION DUTIES

Job duties may include but are not limited to:\r\n�\r\n\r\n Provide administrative assistance\r\n Manage the scheduling and calendars of\r\n team members\r\n Coordinate and make travel arrangements and accommodations for team\r\n members consistent with state regulations and agency policy\r\n Process and manage the collection of invoices and receipts for\r\n reimbursement or payment\r\n Update the customer relationship management software and other\r\n applications with documents and data to help ensure the application is\r\n accurate and current\r\n Responsible for ensuring high standards of\r\n quality for any material distributed by the Investment Division, reviewing\r\n relevant material to ensure that is logical, understandable and\r\n consistent.\r\n Track, record and communicate the status of the legal review process\r\n for new investments.\r\n Research and gather data and/or\r\n materials for the Deputy Chief Investment Officer to review by using the\r\n Internet and other sources\r\n Responsible for documenting and\r\n tracking the Team’s spending on travel, conferences, subscriptions,\r\n supplies, and other budgeted items\r\n Assist the Deputy Chief Investment\r\n Officer with coordinating and preparing Committee agendas\r\n Attend Committee meetings and assist\r\n the Deputy Chief Investment Officer during meetings\r\n Upon the Deputy Chief Investments\r\n Officer’s request, attend and coordinate meetings with various Subcommittees\r\n and Trustees\r\n Other special projects and duties as assigned\r\n\r\n

MINIMUM QUALIFICATIONS

\r\nEducation: An associate degree or bachelor’s degree.�\r\n\r\n\r\nExperience:�One year of experience in general office settings such as office assistant and working as a\r\nreceptionist.�\r\n\r\n\r\nNote: May substitute 3 additional years of relevant experience for educational requirement.\r\n\r\n\r\n\r\n

\r\nPreferred Qualifications\r\n\r\n\r\n�\r\nExperience providing high-level executive\r\nadministrative support to senior leadership, including managing complex\r\ncalendars, coordinating meetings, and preparing executive briefing materials.�\r\n�\r\nStrong organizational and prioritization\r\nskills with the ability to proactively manage competing demands, resolve\r\nscheduling conflicts, and track follow-up actions.\r\n�\r\nDemonstrated ability to manage confidential\r\nand sensitive communications with discretion, sound judgment, and\r\nprofessionalism.�\r\n�\r\nExperience overseeing correspondence\r\nworkflows and constituent inquiries, including tracking assignments and\r\nensuring timely, high-quality responses.�\r\n�\r\nFamiliarity with financial and administrative\r\nprocesses such as purchasing cards, expense reporting, travel coordination, and\r\ncompliance with state or organizational policies.�\r\n�\r\nExcellent written and verbal communication\r\nskills, with the ability to coordinate effectively across executive offices,\r\nprogram leadership, and external stakeholders.�\r\n�\r\nStrong interpersonal skills - ability to\r\ninteract effectively with internal and external stakeholders.�\r\n�\r\nProficiency in office software: Microsoft\r\nOffice Suite, Outlook, SharePoint or equivalent tools. Document management and\r\nvirtual meeting tools: Adobe Acrobat, Zoom, Teams, similar and AI tools such as Microsoft Copilot.�\r\n�\r\nCertifications\r\nare preferred such as Certified Administrative Professional, Professional\r\nCertified Executive Assistant, and Microsoft Office Specialist and should be\r\nreflected in your application under the ‘Licenses & Certifications” tab.�\r\n�\r\nAbility to gather and analyze information for\r\ndecision making purposes. Identify ways to streamline processes and improve\r\nefficiency.\r\n\r\n\r\n\r\n\r\n\r\n
