About NAITSA

The NAIT Students’ Association (NAITSA) is a registered non-profit organization that exists to enhance the NAIT student experience by advocating for their rights, representing their voice, creating a culture of engagement and leadership, while providing student-driven services. NAITSA operates on NAIT's main campus in Edmonton.


Position Details

  • Status: Temporary Full-Time (37.5 hours per week)
  • Term: 12-month contract, with a preferred start date as soon as possible
  • Location: NAITSA, Room O108, 11762 106 St NW, Edmonton, AB T5G 3H4


The Opportunity

NAITSA is seeking an organized, detail-oriented HR Administrator to support day-to-day operations within our HR department. Reporting to the HR Director, the HR Administrator supports a wide range of HR functions, including recruitment, onboarding and offboarding, health and safety administration, training coordination, and employee record management. This position helps ensure HR processes are consistent, documentation is accurate, and NAITSA's approximately 95 employees receive timely support throughout their employment journey.

This role is ideal for an early-career HR professional looking to gain broad exposure across multiple areas of HR, including recruitment, employee relations, compliance, health and safety, training, and HR systems.


What You'll Do...


Recruitment & Employment Administration

  • Coordinate recruitment activities, including job postings, interview scheduling, candidate communication, and hiring documentation
  • Maintain recruitment workflows within BambooHR and other HR systems
  • Prepare employment letters and other employee documentation using approved templates
  • Support annual student hiring initiatives and other recruitment projects


Employee Lifecycle Administration & HR Systems

  • Coordinate onboarding and offboarding processes
  • Ensure HRIS data accuracy
  • Assist with employee inquiries and routine HR requests
  • Maintain confidential employee files and documentation
  • Support employee access administration, including HR-related systems, email accounts, access and clearances
  • Assist with HR reporting and data tracking


Health & Safety Administration

  • Support the administration of NAITSA's Health and Safety Program, including Health & Safety Committee participation, meetings, documentation and follow-up items
  • Support incident reporting records and training documentation


Training, Compliance & Documentation

  • Track employee training requirements, certifications, and policy acknowlegements
  • Maintain HR policies, forms, guides, and documentation
  • Support ongoing updates to onboarding resources and employee materials
  • Assist with compliance reviews and documentation audits


Qualifications (Must-Haves):

  • Diploma or degree in Human Resources, Business Administration, or a related field, or working towards completion (must be available to work full-time during business hours)
  • Strong organizational and administrative skills with exceptional attention to detail
  • Ability to handle confidential information with professionalism and discretion
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office and Google Workspace
  • References and Security Clearance: Employment in this position is conditional upon successful completion of references and a Canadian Criminal Record check.
  • Must be legally authorized to work in Canada without employer sponsorship.


Preferred Skills (Nice-to-Haves):

  • Previous experience in HR, administration, recruitment, or a related role
  • Experience using an HRIS, either as an administrator or employee user
  • Experience supporting recruitment, training, or onboarding processes
  • Knowledge or Alberta employment legislation and/or occupational health and safety requirements
  • Experience in a post-secondary, student-focused, or non-profit environment is an asset


Working Conditions:

  • Work Hours: Monday to Friday, start and end times flexible within core business hours
  • This role is primarily desk-based and involves extended periods of computer use
  • Following onboarding and training, this position may be eligible to participate in NAITSA's hybrid work program.
  • Please note, NAITSA’s office is dog-friendly. The dogs in the office are certified through our Pets Assisting with Student Success (PAWSS) program.
