About the Role
Confluence Theater of Pittsburgh is seeking a detail-oriented and dependable Payroll & Accounts Payable Specialist to join our Finance & Administration team. Reporting to the Accounting Manager, this position plays an important role in supporting the organization’s day-to-day financial and administrative operations.

The Payroll & Accounts Payable Specialist is responsible for accurately processing payroll and accounts payable, maintaining employee and new-hire information, supporting benefits administration, and assisting with related accounting and personnel processes.

This is a hybrid role with 2 days onsite in Pittsburgh. 


Essential Responsibilities
  • Manage accounts payable activities, including maintaining vendor information in Sage Intacct, routing invoices for approval, processing invoices, issuing checks and electronic payments, maintaining digital records, completing annual vendor analysis, and assisting with 1099 preparation.
  • Partner with the Accounting Manager to process weekly and/or bi-weekly payroll, administer Flexible Spending Accounts (FSAs), process union deductions and wage garnishments, issue corresponding payments, and prepare payroll journal entries.
  • Support Human Resources with new-hire paperwork and onboarding in the HRIS/payroll system, employee benefit enrollments and terminations, offer letters, unemployment claims, and other personnel-related processes.
  • Reconcile corporate card programs monthly and accurately record transactions in the General Ledger.
  • Maintain current personnel policies and related information within the HRIS/payroll system.
  • Assist with annual Affordable Care Act (ACA) reporting requirements.
  • Develop and maintain an understanding of applicable union collective bargaining agreements, particularly as they relate to compensation, payroll practices, and time-off policies.
  • Support Accounts Receivable functions, including processing and depositing check and cash payments.
  • Assist the Accounting Manager with annual audits, budget preparation, fiscal year-end close, general accounting activities, and required internal and external reporting.
Education and Experience Requirements
  • An Associate degree in Accounting, Human Resources, Business Administration, or a related field is preferred; equivalent relevant work experience may be considered in place of formal education.
  • A minimum of two years of relevant professional experience in accounting, payroll, accounts payable, human resources administration, or a related area is preferred.
  • Demonstrated experience accurately processing a high volume of accounts payable transactions.
  • Experience processing electronic payroll is required.
  • Experience processing payroll in a union environment is preferred.
