Under the direction of the Marketing Manager, you will lead the planning, execution, and continuous improvement of Systemair North America's trade show and event program.
This role will own the operational execution of trade shows from initial planning through post-event reporting, working closely with Sales, Business Development, Product Management, Marketing, vendors, and event organizers.
The ideal candidate has the desired experience and understands how trade shows can support brand awareness, customer engagement, lead generation, sales objectives, and product launches. They will be expected to bring structure and professionalism to our existing events and proactively identify opportunities to elevate smaller events and standard trade shows into more strategic, engaging experiences.
Essential Duties and Responsibilities
Own end-to-end planning and execution of trade shows and events, from kickoff through post-event reporting.
Build and manage event timelines, project plans, task lists, and critical deadlines to keep all activities on track.
Coordinate all show logistics, including registration, booth space, utilities, freight, material handling, furniture, lead retrieval, and related services.
Manage trade show manuals, exhibitor requirements, and vendor deliverables to ensure accurate, on-time execution.
Oversee shipment and movement of booth properties, product samples, literature, graphics, promotional items, and other event assets.
Serve as the primary contact for event organizers, contractors, installers, vendors, and internal booth staff before, during, and after events.
Identify risks early, troubleshoot issues quickly, and implement contingency plans to protect event execution and budget.
Partner with Sales, Business Development, Product Management, and Marketing to define objectives, target audiences, featured products, and event success measures.
Develop staffing plans, booth schedules, meeting calendars, and team responsibilities to support effective event execution.
Coordinate pre-show promotion with Marketing, including exhibitor listings, email, social media, invitations, and other attendee outreach.
Ensure consistent branding, messaging, and product storytelling across booth environments, signage, literature, presentations, and promotional materials.
Support sales teams with event-specific tools and guidance, including talking points, product information, booth engagement plans, and lead capture processes.
Elevate event quality by improving booth layouts, attendee engagement, demonstrations, giveaways, sponsorships, and overall experience design across the trade show portfolio.
Track expenses, lead flow, and event performance metrics; prepare post-show recaps with insights, ROI indicators, and recommendations for future improvement.
Skills, Education, and/or Experience
3-5 years of experience in trade show and event organization.
Proven experience project managing trade shows from planning through execution and post-event reporting.
Experience managing 10x10, 10x20, and larger exhibit programs.
Experience managing trade show vendors, contractors, freight, show services, and event logistics.
Experience working cross-functionally with Sales and Marketing teams.
Excellent project management and organizational skills.
Ability to manage multiple events and deadlines simultaneously.
Willingness to travel to trade shows and events.
Job Conditions
Physical Demands:
Prolonged periods of sitting at a desk and looking at a computer.
Sitting, lifting, squatting, pushing, or reaching for intermittent or extended periods.
Moderate physical effort – able to lift up to 50lbs at times.
Must be able to travel 20% regionally.
Work Environment:
Primary work environment is an office setting.
May be exposed to loud, repetitive sounds from machinery or equipment if walking through the warehouse or factory.
May incur travel via air or ground.
Will involve working outside regular business hours to attend trade shows and other events.
