The Office & Executive Support Manager is responsible for the day-to-day operation, organization, and overall experience of the Irvine corporate office while also providing administrative and logistical support to the Chief Executive Officer and other members of the leadership team.
This position serves as a central point of contact for employees, visitors, vendors, and internal departments and is responsible for ensuring the office operates efficiently, professionally, and in a manner consistent with Comfort Keepers' culture and values.
The role combines office operations, executive support, meeting and event coordination, training logistics, and general administrative support. The successful candidate will be highly organized, service-oriented, proactive, and comfortable managing multiple priorities in a fast-paced environment while maintaining appropriate confidentiality and professionalism.
Office Operations & Workplace Management
Oversee the day-to-day operations of the Irvine corporate office, ensuring a professional, organized, safe, and welcoming workplace.
Manage office vendors, supplies, parking, mail, conference rooms, workspace needs, and general office organization.
Coordinate office communications, building updates, workplace changes, and office-related expenses.
Serve as the office safety coordinator and support emergency preparedness and safety procedures.
Provide administrative and logistical support to the Chief Executive Officer, including travel, itineraries, expenses, meals, document routing, and other assigned needs.
Partner with the Executive Administrative Assistant to support executive priorities, meetings, and Board-related activities.
Handle sensitive and confidential information with professionalism and discretion.
Coordinate logistics for corporate meetings, employee events, leadership functions, and company-sponsored activities.
Support Learning & Development programs and other onsite training through scheduling, meals, parking, materials, and meeting space coordination.
Partner with internal stakeholders and external vendors to ensure meetings and events are organized and executed effectively.
Serve as a primary point of contact for employees, visitors, vendors, and office-related inquiries.
Partner with Human Resources, Finance, Learning & Development, Marketing, and other departments on administrative and workplace initiatives.
Support employee recognition, workplace culture, reporting, and other office-based programs.
Perform additional administrative and operational responsibilities as needed to support the corporate office and leadership team.
Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously.
Excellent written and verbal communication skills and the ability to interact professionally with employees at all levels of the organization, franchisees, executives, Board members, vendors, and visitors.
Strong attention to detail and commitment to accuracy and follow-through.
Demonstrated ability to anticipate needs, identify potential issues, and take appropriate action.
Strong customer-service orientation and commitment to creating a positive employee and visitor experience.
Ability to exercise discretion and maintain confidentiality when handling sensitive business and employee information.
Ability to work independently while effectively partnering with multiple departments and stakeholders.
Strong judgment and problem-solving skills, including the ability to determine when issues should be escalated.
Ability to remain organized and professional when priorities change or multiple requests arise simultaneously.
Proficiency with Microsoft Office applications, calendar and travel systems, expense management platforms, and other standard business technology.
Ability to learn and utilize systems such as Concur, Canva, and other company platforms as required.

High school diploma or equivalent required; associate or bachelor's degree preferred.
Three or more years of experience in office management, executive support, workplace operations, administrative coordination, hospitality, or a related field preferred.
Experience supporting senior executives or leadership teams strongly preferred.
Experience coordinating meetings, events, travel, vendors, or workplace operations preferred.
Experience working in a corporate office environment with responsibility for multiple stakeholders and competing priorities preferred.
On-Site, in-office
Walking, sitting, and standing with lifting not to exceed 25 lbs. Extended time at a computer work screen and on the telephone. Driving to marketing events will be required.
Salary range is $36-$43/hour.
