Facilities Project Manager

ABOUT THE ROLE This is an exciting moment to join a growing Facilities Department. We are building up our team to better support the museum’s three sites.
The Facilities Project Manager will direct and coordinate capital and facilities projects and the activities of contractors and professional service companies engaged in construction, repair, maintenance, remodeling, or other initiatives across all sites. This position is responsible for overall management of capital projects, responsible for all phases of the project including, but not limited to, managing subcontractors, owner relations, quality control, safety, schedule, and executing to the project budget.
- Plan, direct, and coordinate all activities for projects assigned to ensure objectives are accomplished safely, within prescribed funding, and scheduling parameters
- Help define project goals, requirements, scope, and deliverables
- Determine tasks and resources needed to reach project objectives
- Establish and execute project work plans, identify project risks and develop mitigation plans
- Oversee vendor management process, including selection process, onboarding, performance management, risk mitigation, and invoicing
- Oversee all aspects of the project, scope, schedule, budget, safety, and quality of work, creating timelines and schedules as appropriate
- Track and creatively resolve challenges related to the project, implementing and managing changes as necessary to meet project deliverables
- Maintain all project documentation including budget, schedule, and close out documentation
- Coordinate project-related warranty work
- Develop and execute project communication plans
- Work with a variety of stakeholders to track project deliverables
- Maintain open communication channels with vendors, internal parties, and other stake holders
- Coordinate contracting process serving as primary liaison with internal and external counsel and vendor counsel
- Supervise work performed to ensure it meets museum standards and quality plan
- Partner with Director of Security to ensure on-site compliance with security project procedures
- Review drawings and specifications for constructability, completeness, and accuracy
- Support operating projects as assigned
- BA/BS in construction management, project management, or related field or equivalent combination of technical training, experience in construction, design, or project management
- Seven years of project management experience, with at least three years of people supervision
- Experience with change management
- Ability to translate standards, operational concepts, and report results to staff
- Read, analyze, and interpret documents, contracts, technical procedures, and regulations
- Experience handling daily operations and timely, effective decision-making
- Experience in managing planning and decision-making processes
- Excellent planning, financial management, and organizational skills
- Ability to understand drawings and specifications, general contractor and subcontractor documents, materials, means and methods
- Successfully assess priorities and work well with deadlines, time management, problem solving, and analytical skills
- Strong track record in exercising sound, timely judgment
- Establish and maintain effective working relationships with internal and external parties
- Proactive, strategic, and professional verbal and written communication, with an ability to tailor communications according to audience
- Strong supervisory skills; ability to motivate teams and simultaneously manage several projects
- Exercise discretion in maintaining confidentiality of sensitive information
- Proficiency in Microsoft Office Suite, Zoom, Asana, Slack and internet-based research
- Ability to pass and maintain security background check clearance
- Project Management Professional (PMP) or Certified Associate in Project Management (CAPM)
- Non-profit experience
- Experience in a museum setting
- Work areas are primarily inside, in a climate-controlled environment with moderate background noise. Workspaces may include outdoor areas. Mechanical rooms present moderately severe noise where ear protection is required. Workspaces may include outdoor areas and the occasional need to work in wet conditions. PPE will be provided.
- Approximately 75% of time is spent stationary while working at a desk. Balance of time (approximately 25%) is spent moving around the work area. Walking on uneven surfaces, including ground in varying weather conditions. Occasionally climb stairs or ladders.
- Ability to transport up to twenty-five (25) pounds of equipment and supplies.
