What will be your DAY-TO-DAY?

Main responsibilities

Your main responsibilities include, but are not limited to, the following:

Operational Expenses Management (OPEX):

·       Data Analysis and Reporting - Monthly review and analysis of spend data and trends.

·       Daily oversight of automated data and reports from vendors including the follow-up with vendors(s) if data and reporting fail or is missing.

·       Monitor and improve expense controls and processes (i.e. requisitions, expense coding/tracking and approval process).

·       Maintain regional expense policies and governance documents and articulate changes to management.

·       Maintain external vendor relationships.

·       Travel administrative support: providing guidance to travelers with their booking process, rerouting pending reservations to managers, coordinating travel profile updates with the team in Bangalore, raising escalation points to the team in Paris, etc.

Travel Management:

·       Bi-weekly review of GBTO & GCOO travel bookings and reconciliation against budget.

·       Coordinate with the Bangalore team reclassifications required and eliminate accounting noise.

Collaborative Learning & Engagement:

·       Undertake projects related to learning and development: communication campaigns, promotion of training offers, contribution to the creation and deployment of e-learning platforms and their reporting.

·       Take part in career development activities: coach employees and managers, create support documents, draft communications, and reporting.

Backup responsibilities:

Transversal Reporting Management:

·       Ensure proper service delivery across GBTO & GCOO Americas for all transversal reporting processes, including but not limited to Audit Recommendations, Overtime, Mandatory Training, etc.

Financial Management:

  • Support review of monthly GBTO & GCOO financial statements (forecast & budget) with the GBTO ExCo member of the assigned perimeter
  • Generate finance and budget reports to address stakeholder needs
  • Monitor financial KPIs and provide analysis to stakeholders and management
  • Manage invoice approvals, invoice disputes, accruals, and cost allocations
  • Assist in the preparation of the annual budget exercise and forecast analysis

Resource Management:

·       Staff Plan Management in Pyramid and alignment with HR.

·       Manage the monthly headcount monitoring of actual and projected compared to the budget

·       Work with HR and staff within GBTO & GCOO Business Areas to manage headcount, cost centers and organizational charts.

Skills and Qualifications:

Must Have:

·       2 to 4 years of experience in a similar role, preferably in the financial services industry

·       MS Suite proficiency

·       Excellent analytical, organizational and presentation skills

·       Strong analytical skills

·       Strong organizational, time-management, and multi-tasking skills

·       Attention to detail

·       Pro-activity and dynamism

·       Strong interpersonal and communication skills

·       Independent problem solving, as well as adherence to high quality standards

·       Client Focus – continuously developing/enhancing relationships with internal partners

Nice to Have:

·       Knowledgeable about financial industry, operations

·       Worked in an international environment, complex matrix organization

·       Budget and forecast analysis

·       Business Intelligence tools (Power BI) for customized reports

Education: Bachelor’s in Business Administration, Finance, Computer Science, MIS, or equivalent

LANGUAGE: 

Ability to communicate in English, both orally and in writing, is a requirement as the person in this position will need to collaborate regularly with colleagues and partners in the United States.
