We are seeking a proactive, communicative, and detail-oriented Assistant Property Manager to join our team remotely.
In this role, you will serve as the primary remote point of contact for our tenants, taking ownership of day-to-day communications, rent collections, lease renewals, tenant onboarding, and leasing coordination. By managing incoming inquiries and front-line administrative workflows, you will free up our on-site Property Manager to address field operations, vendor coordination, and high-level maintenance needs.
The ideal candidate brings strong customer service or hospitality experience, possesses a empathetic yet firm communication style, and thrives in a fast-paced environment.
Responsibilities
~1 min read- First Point of Contact: Serve as the primary contact for incoming tenant calls, texts, and emails during business hours.
- Responsive Service: Acknowledge tenant inquiries promptly, ensuring they feel heard and supported even if an issue requires several days to resolve.
- Issue De-escalation: Diffuse difficult or emotional situations using empathy, thick skin, and professional problem-solving skills.
- Coordination & Documentation: Log all communication in Buildium and coordinate with the on-site team for issues requiring physically dispatched support.
- Execute Collections Workflow: Proactively follow up on outstanding rent balances via phone, text, and email based on company timelines (e.g., automated/custom reminders on the 5th and 10th).
- Tailored Outreach: Vary outreach methods and timing (e.g., trying phone calls or late-afternoon emails) to effectively reach chronically late tenants.
- Firm & Professional Tone: Set clear expectations with first-time late payers to prevent late payments from becoming a recurring habit.
- Renewal Tracking: Identify upcoming lease expirations, present renewal options (provided by management), track tenant decisions, and manage agreement workflows.
- Move-In Coordination: Send welcome packages, move-in instructions, and checklists to new tenants to ensure a seamless onboarding experience.
- Inquiry Management: Monitor and respond promptly to incoming rental leads from platforms like Zillow.
- Showing Schedules: Prequalify prospective renters using established scripts and schedule property showings directly on the leasing agent’s calendar.
- Portal & Record Audits: Regularly review tenant ledgers, verify up-to-date Renter’s Insurance policies, and update owner/tenant portals in Buildium.
- Workflow Optimization: Assist with administrative side projects and leverage AI tools (e.g., Claude) to streamline collection notices and repetitive tenant communications.
Requirements
~1 min read- Experience: 2–5 years of experience in property management, customer service, front-desk hospitality, collections, or remote administrative support.
- Communication Skills: Exceptional written and verbal English skills. A warm, clear, and professional phone manner is required. (Bilingual in Spanish is a major plus).
- Mindset: Highly motivated, trainable, organized, and possesses thick skin for handling complaint resolution and collections calls.
- Technical Proficiency:
- Proficiency with Google Workspace (Gmail, Google Docs, Sheets, Calendar).
- Prior experience or comfort learning property management software like Buildium.
- Experience with communication tools like Trello or Zillow Lead Manager.
- Familiarity with AI tools (e.g., Claude or ChatGPT) for draft generation and workflow enhancement is a strong plus.
- Work Setup: Reliable high-speed internet connection, quiet work environment, and ability to work full-time hours aligned with Eastern Standard Time (EST).
