We are a fast-growing direct-to-consumer energy and hydration brand built to challenge copy-and-paste drink companies. Powered by clean ingredients, bold limited-edition flavor drops, and a design-forward identity, we launched in early 2025 and is already generating $250,000–$300,000 per month in revenue. The brand is backed by the same founder who previously scaled to $200M/year — and is being built with the same level of ambition.
About the Role
This role exists because the business has outgrown informal coordination. The founder is deeply involved in product development, brand strategy, investor relations, creator partnerships, and day-to-day operations — and the volume of moving parts across multiple companies has created a real need for an operator who can shadow, organize, and execute.
This is not a calendar-management role. The person in this seat will become the connective tissue across every project the founder touches: tracking open loops, building out systems and SOPs, managing downstream communication with vendors and team members, and making sure nothing falls through the cracks.
The right person will reduce the founder's cognitive load significantly — not by filtering his schedule, but by owning the operational layer underneath everything he does.
Key Responsibilities
Project & Launch Coordination
- Own the operational checklist for every product launch — from PO placement through label compliance review, manufacturer follow-up, inventory receipt, and go-live
- Track project milestones and flag delays and surface blockers before they become problems
- Manage vendor follow-ups and timelines, particularly for China-based manufacturing relationships
Systems & SOP Development
- Build and maintain SOPs for recurring business processes (product ordering, launch workflows, creator/influencer outreach, compliance checklists)
- Implement and manage project management tools to centralize task tracking across teams
- Identify operational gaps and proactively propose solutions — not just document existing processes
Cross-Team Communication & Follow-Through
- Serve as the communication hub between the founder and internal team members, ensuring priorities are clearly assigned and followed up on
- Draft and send routine communications on the founder's behalf (vendor updates, internal team check-ins, status summaries)
- Monitor open action items and drive accountability across stakeholders
Founder Support
- Shadow the founder in key meetings and own all follow-up documentation
- Maintain an organized system for tracking decisions, commitments, and outstanding priorities across multiple business lines
- Assist with research, supplier vetting, and business development prep as needed
Required Qualifications
- 3+ years of experience in business operations, executive support, chief of staff, or a similar role
- Proven track record managing multiple concurrent projects in a fast-moving environment
- Strong written English communication — you will be drafting external communications regularly
- Experience building and managing SOPs, project trackers, or operational playbooks
- Comfortable working directly with a founder or senior executive in an unstructured environment
- High proficiency with productivity and project management tools (Notion, Asana, ClickUp, or equivalent)
- Detail-oriented to a fault — nothing slips past you
Preferred Qualifications
- Experience in e-commerce, DTC, CPG, or supplement/consumer goods industries
- Familiarity with Shopify or other DTC platforms
- Experience managing or coordinating with overseas manufacturers (China preferred)
- Background supporting a multi-entity or portfolio business
- Exposure to AI tools (ChatGPT, Claude, etc.) for automating workflows and documentation

You are highly organized and thrive in environments where structure doesn't yet exist — you build it. You're proactive, not reactive: you see what's coming before it becomes a problem. You communicate clearly and directly, and you follow up without being asked twice.
You are comfortable with ambiguity. The scope of this role will expand as trust is built. You don't need a perfect job description to do excellent work — you need context, access, and the ability to figure things out quickly.
