We are a high-growth technology services organization seeking a detail-oriented, analytical Internal Operations Coordinator to join our Revenue Operations team. This role and our Sales Contract Administrator position were previously combined into a single, high-complexity role managed by a highly tenured industry specialist. As we scale, we have split that position into two distinct tracks, creating this dedicated role to serve as the ultimate anchor for our subscription lifecycle, quote building, and order compliance.
You will spend your time at the intersection of Finance, Services, and Sales, ensuring our customer billing, renewals, and subscription data are 100% accurate. Success in this role requires a natural interest in systems, subscription models, and process optimization. You will work closely with our Project Administrators to ensure our CRM records are perfectly aligned for downstream automated workflows and revenue recognition.
Responsibilities
~1 min read- CPQ Quote Creation: Support our sales team by managing the technical data entry and configuration of subscription quotes within our systems (Salesforce/Salesforce CPQ), including complex add-ons, amendments, and modifications.
- Operational Accuracy: Audit subscription data, ensuring all records are perfectly aligned with agreed-upon client contracts to support seamless downstream billing and process automations.
- Systems Maintenance: Take responsibility for the technical accuracy of our active service tags, automated re-up triggers, and contract records in the CRM.
- Renewal Verification: Oversee the automatic renewal process, ensuring that upcoming subscriptions are identified early, quoted accurately, and processed on time.
- True-Up Reconciliations: Assist the Finance department in auditing usage-based accounts, running consumption reviews, and processing billing adjustments or "true-ups."
- Compliance Checks: Review subscription orders against internal pricing guidelines, approval matrices, and structural standards before final execution.
- Accrual Support: Support financial reporting by maintaining accurate, clean datasets regarding deferred revenue and subscription schedules.
- Operational Bridge: Partner closely with Sales, Finance, and our Project Administrators to resolve account discrepancies and ensure a flawless operational handoff between departments.
- Customer Communication: Manage occasional back-and-forth communication with customers regarding routine billing queries, documentation updates, and operational requests.
- Continuous Improvement: Proactively identify data inconsistencies or process bottlenecks in the subscription pipeline and propose scalable solutions to improve overall efficiency.
- Analytical Foundation: 2–3+ years of experience in sales operations, financial data entry, contract administration, or billing support.
- Aptitude for Subscriptions: You possess a natural curiosity and interest in how subscription services, recurring revenue models, and SaaS/Services invoicing structures operate.
- Salesforce Familiarity: Prior experience navigating Salesforce CRM is highly preferred (experience with Salesforce CPQ is a huge plus).
- Exceptional English: Flawless written and verbal English communication. You are highly comfortable coordinating cross-departmentally with US-based finance managers and executives.
- The "Detective" Eye: You have a "zero-error" standard. You enjoy the process of auditing spreadsheets, reconciling differences, and ensuring every ledger entry matches the contract.
- High Adaptability: While you don't need years of highly specialized CPQ experience, you must be a quick, enthusiastic learner who is comfortable picking up complex software systems.
- Autonomous Operator: A disciplined, self-motivated contractor who can manage repetitive data tasks with high consistency and no hand-holding.
