We are a fast-growing, tech-enabled company operating in the digital commerce and agency space, focused on building scalable systems, operational excellence, and efficient internal infrastructure.
With a lean, high-performing team and ambitious growth goals, we are seeking an experienced Operations Manager / Operational Lead to help build the operational backbone of the business.
This is a highly cross-functional role focused on systems, process infrastructure, project coordination, and operational scalability — ideal for someone who thrives in growth-stage environments and enjoys turning fast-moving companies into highly organized machines.
This role is designed to help scale the company’s internal operations during a key growth phase.
You will act as the operational glue across departments — helping build scalable systems, improve accountability, coordinate execution, and create operational clarity as the business grows.
We are looking for someone who has experience operating inside agencies or fast-paced service businesses and understands how to create structure during rapid growth.
A major focus of the role will be:
- Building and optimizing the company’s internal Notion infrastructure
- Developing scalable SOP systems
- Improving cross-functional coordination
- Supporting operational rollout of new processes and product changes
- Creating scalable meeting and onboarding systems
This person should think like an operator, not an administrator.
Responsibilities
~1 min read- Lead the architecture and optimization of the company’s internal Notion workspace
- Build scalable operational systems, documentation, and internal infrastructure
- Create, organize, and maintain SOP libraries with clear ownership and accountability structures
- Continuously identify operational inefficiencies and implement scalable improvements
- Help establish operational clarity across teams, workflows, and responsibilities
- Coordinate projects and operational initiatives across multiple departments
- Ensure alignment between leadership, operations, and execution teams
- Help implement and operationalize new process changes across the business
- Track deliverables, ownership, and timelines to ensure execution stays on track
- Serve as a central point of coordination between departments during growth initiatives
- Help build scalable operational frameworks suitable for a growing agency/service business
- Develop meeting structures and operational rhythms that scale effectively with company growth
- Improve communication flows, accountability systems, and team coordination
- Support leadership in implementing operational best practices
- Build and improve onboarding documentation and training infrastructure for new hires
- Help create repeatable onboarding systems that improve ramp-up speed and consistency
- Ensure operational knowledge is documented and accessible across the organization
- Work closely with leadership to identify operational bottlenecks and scaling challenges
- Help translate high-level business goals into operational processes and systems
- Support special projects and operational initiatives as the company evolves
- 3–7+ years in Operations Management, Agency Operations, Project Operations, or similar operational leadership roles
- Strong experience working inside agencies, service businesses, or fast-growing startups
- Proven track record building scalable SOPs, workflows, and operational systems
- Experience coordinating projects across multiple departments
- Prior experience implementing operational infrastructure during growth stages strongly preferred
- Experience supporting operational scaling inside lean teams is highly valued

Comfortable working inside operational tools and building systems from scratch.
Nice to Have

- Familiarity with project management platforms (ClickUp, Asana, Monday, etc.)
- Experience with SOP documentation and process mapping
- Comfortable using AI and automation tools to improve operational efficiency
- Experience creating onboarding and training systems is a major plus
- Operates independently with minimal oversight
- Comfortable working in fast-paced, evolving environments
- Able to balance strategy with hands-on execution
- Strong ownership mentality and accountability
- Comfortable collaborating across remote teams
- Partial overlap with US time zones preferred
