Role Overview:
This is a high-impact opportunity for a proactive and technically skilled Project Assistant to become an indispensable force in a growing hospitality construction services business. You will be the crucial link in project delivery, working closely with project managers and vendors to ensure every client project is delivered successfully, and will work directly with City Planning to submit plans and stay informed on inspection processes. If you have a no-nonsense attitude and a passion for organization, you will thrive in this role, using your technical expertise to coordinate schedules, manage documentation, and streamline the entire delivery process.
Key Responsibilities:
- Coordinate project schedules, meetings, and deadlines with internal teams and external stakeholders to ensure timely execution.
- Manage and maintain detailed project documentation, including meeting notes, action items, status reports, and project closeout materials.
- Serve as a central point of contact for vendors, suppliers, external partners, and clients, fielding inquiries and facilitating communication.
- Support the Project Management team by proactively following up on tasks, managing scheduling logistics, and ensuring materials ordering and delivery coordination.
- Provide general administrative support, such as booking travel, processing expense reports, and managing electronic filing systems.
- Ensure project records are organized and up-to-date by coordinating project workflows and using project management software (e.g., Excel and ClickUp).
- Document project progress by compiling and organizing photos and videos submitted by contractors and on-site teams.
- Assist with the preparation of high-quality presentations, proposals, and other client-facing materials.
- Proactively monitor project status, making necessary phone calls and taking initiative to push back or escalate issues when required to keep projects on track.
- Collaborate with the project management team to identify, propose, and implement continuous process improvements for greater efficiency.
Qualifications:
Required
- 2+ years of experience in a project coordination or administrative support role, preferably in a client-facing environment.
- Excellent written and verbal communication skills, with the ability to interact professionally with diverse stakeholders.
- Strong organizational and documentation skills to keep project records up-to-date.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint).
- Experience with project management softwares.
- Experience in the construction industry.
- Ability to be assertive and proactive, not afraid to push back or ask questions when needed.
- Flexibility to work outside standard 9-5 hours if there are construction site needs after hours.
- Willingness to learn and adapt as needed.
