About the Role: The RFP Account Coordinator plays a critical role in supporting the growth and success of the company by overseeing the Request for Proposal (RFP) process. This role involves coordinating the development of high-quality proposal responses, managing timelines, and collaborating with cross-functional teams to ensure timely and compelling submissions. The ideal candidate is organized, detailoriented, and able to manage multiple projects simultaneously. Leveraging AI-driven tools, the Coordinator will streamline data gathering, content generation, and analytics to produce competitive and compelling proposals.
Key Responsibilities:
RFP Management:
- Oversee and manage the end-to-end RFP response process.
- Analyze RFP requirements and develop detailed response plans and timelines.
- Ensure all submissions meet client specifications, deadlines, and quality standards.
- Use AI tools to automate repetitive tasks such as document formatting, template - creation, and content standardization.
Collaboration & Communication:
- Coordinate with subject matter experts, sales, marketing, and leadership teams to gather content and insights.
- Communicate project expectations, updates, and deadlines to all stakeholders.
- Facilitate meetings to review RFP progress and align on strategy.
Content Development:
- Draft, edit, and proofread proposal content for clarity, consistency, and alignment with brand voice.
- Customize proposals to address client needs and demonstrate value.
Document Management:
- Maintain an organized library of proposal templates, case studies, and boilerplate content.
- Ensure version control and track changes throughout the proposal development process.
Quality Assurance:
- Conduct final reviews to ensure compliance, accuracy, and professionalism.
- Identify and implement continuous improvements in the RFP process.
Qualifications:
• Bachelor’s degree in Business, Marketing, Communications, or a related field.
• 1-3 years of experience in proposal management, sales support, or account coordination.
• Excellent project management and organizational skills.
• Strong written and verbal communication skills.
• Ability to manage multiple deadlines and work well under pressure.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with proposal management tools.
• Experience in consulting, professional services, or a similar industry is a plus
• Proficiency in proposal management software nice to have (e.g., Loopio, RFPIO)
