How You Will Contribute

The role will supports leasing and management teams during lease-up with application processing, lease administration, prospect follow-up, reporting, and move-in coordination, making the move from prospect to resident seamless. As the community stabilizes, shifts toward resident services, driving engagement, renewals, retention, and events to create a responsive, welcoming community.

Things You Will Do

Leasing & Administrative Support

  • Support the leasing team with the daily administrative needs of a high-volume lease-up.
  • Assist with application processing, screening, approvals, lease preparation, and document management.
  • Review leasing files for accuracy and completeness.
  • Maintain accurate prospect, applicant, and resident information within the property management and CRM systems.
  • Assist with prospect follow-up, appointment scheduling, and communication.
  • Assist with preparing move-in documentation and coordinate upcoming move-ins with residents and onsite teams.
  • Track deposits/ePremium set up, required documentation, insurance, utility requirements, and other move-in items.
  • Assist with preparing leasing reports, traffic reports, move-in schedules, availability reports, and other operational reporting weekly.
  • Support the leasing team during high-volume traffic periods, including tours when needed.
  • Maintain an organized and professional leasing office and ensure materials and collateral are readily available.

Move-In & Resident Experience

  • Serve as an additional point of contact for new residents throughout the move-in process.
  • Coordinate move-in schedules, elevator reservations, access credentials, keys/fobs, parking information, and resident welcome materials.
  • Help ensure apartments and move-in documentation are prepared prior to resident arrival.
  • Conduct move-in follow-up to ensure residents have had a positive experience.
  • Assist residents with general questions regarding the property, amenities, packages, parking, building access, policies, and community services.
  • Work closely with leasing, maintenance, concierge, and management teams to resolve resident needs efficiently.
  • Maintain professional and timely communication with residents.

Transition to Resident Services Coordinator

As the community progresses through lease-up and occupancy increases, this position will gradually shift from leasing administration toward Resident Services and Resident Experience.

Responsibilities will expand to include:

  • Serving as a primary point of contact for resident questions and requests.
  • Coordinating resident communication and community updates.
  • Assisting with resident events and engagement initiatives.
  • Supporting resident retention and renewal efforts.
  • Following up on resident concerns to ensure timely resolution.
  • Coordinating with maintenance and other departments regarding resident service needs.
  • Assisting with amenity management, reservations, parking, packages, access control, and other resident services.
  • Identifying opportunities to improve the overall resident experience.
  • Building strong relationships with residents and helping create a welcoming community environment.

Things You Need

  • Must be able to work on-site five days a week; this role is not remote or hybrid eligible
  • Previous experience in multifamily property management, leasing, hospitality, customer service, administrative support, or a related field preferred.
  • Experience in a lease-up or luxury residential environment is a plus.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Professional, polished, and customer-service focused.

Skills:

  • Comfortable communicating with prospects and residents both in person and electronically.
  • Ability to work collaboratively across leasing, maintenance, concierge, and management teams.
  • Proficiency with Microsoft Office and comfort learning property management and CRM software.
  • Experience with property management platforms such as Yardi, Rent Cafe, RealPage, Meet Elise, or similar systems is a plus.
