Position Summary


The Operations Supervisor supports the day-to-day management and coordination of property operations at The Oaks. Reporting to the Director of Operations, this position provides operational and administrative oversight across property services, vendor and contractor activities, department financial administration, contracts, documentation, property access, and assigned projects.


The Operations Supervisor works closely with Engineering, Housekeeping, Security, Property Management, tenants, vendors, and other stakeholders to support safe, efficient, organized, and well-maintained property operations.

The role requires strong organizational skills, initiative, attention to detail, effective communication, and the ability to manage multiple priorities through completion.

Key Responsibilities


  • Support the Director of Operations in the day-to-day coordination of property operations and services, including Engineering, Housekeeping, and Security activities.
  • Conduct routine property inspections, coordinate corrective actions, and monitor operational issues through resolution.
  • Coordinate vendor and contractor activities, including scheduling, access, performance tracking, and documentation.
  • Coordinate property access for vendors, contractors, tenants, and other authorized parties, including controlled areas such as roofs and mechanical rooms.
  • Draft and route department contracts, proposals, and related procurement documentation; track renewals and expirations.
  • Review, code, and track department invoices and expenses; support budget tracking and financial reporting.
  • Maintain organized department records, including contracts, permits, warranties, and project documentation.
  • Coordinate assigned operational projects and initiatives, tracking deliverables and communicating risks to the Director of Operations.
  • Coordinate cross-functional requests involving Property Management, Leasing, Marketing, and tenants.
  • Delegate and oversee assigned operational activities performed by employees and service teams.
  • Maintain calendars, deadlines, correspondence, and status reporting for the Operations Department.
  • Coordinate assigned projects and department initiatives, including schedules, vendor activities, site access, procurement, and stakeholder communication through closeout.
  • Remain available and responsive during property emergencies or significant operational events as needed.
  • Maintain composure and professionalism during emergency situations and other high-pressure operational events.
  • Other duties as assigned.


Required Qualifications

  • 5–7 years of progressively responsible experience in facilities operations, property operations, property management, construction administration, or a related field.
  • Minimum of 3 years of supervisory, team lead, or operational coordination experience.
  • One of the following: an industry certification such as PMP, FMP, CFM, or CRM (or equivalent), OR an Associate’s degree in an administrative or technical field.
  • Experience working with vendors, contractors, contracts, invoices, procurement, and operational documentation.
  • Strong organizational and time-management skills with the ability to manage multiple competing priorities.
  • Strong written and verbal communication skills.
  • Demonstrated initiative, sound judgment, and problem-solving ability.
  • Strong attention to detail and recordkeeping skills.
  • Ability to read and understand proposals, contracts, invoices, scopes of work, and routine operational documents.
  • Proficiency with Microsoft Office and ability to learn property management, CMMS, project management, and financial systems.
  • Ability to work effectively with employees, vendors, contractors, tenants, and senior management.


Compensation & Status


Pay Scale: $80,000 – $95,000 annually, commensurate with experience and qualifications


Employment Type: Full-Time
