Internal Recon Service Writer

Sullivan Motors is looking for an organized, automotive-minded Internal Recon Service Writer to manage repair orders and workflow for vehicles moving through our internal reconditioning department. This is not a customer-facing service advisor position. This role is dedicated exclusively to vehicles being prepared for sale and will work directly with our technicians, recon team, parts department, and management.

Responsibilities

• Open, maintain, and close internal repair orders for recon vehicles
• Review technician inspections and recommended repairs
• Build accurate internal repair tickets with parts and labor
• Assign and dispatch work to technicians based on priority and workload
• Track vehicles through the entire recon process
• Follow up on parts availability and prevent vehicles from sitting unnecessarily
• Maintain accurate repair status and estimated completion dates
• Communicate delays, major mechanical issues, and high-cost repairs to management
• Ensure technicians properly document repairs and flag completed labor
• Verify completed work before closing repair orders
• Help prioritize vehicles based on sales and inventory needs
• Monitor recon cycle time and identify bottlenecks
• Maintain accurate records of recon costs by vehicle
• Coordinate with the Inventory/Reconditioning Manager on vehicles requiring additional approval
  

What We're Looking For

The ideal candidate understands automotive repair and can keep a busy shop organized. You do not need to be a technician, but you should be comfortable reviewing inspection results, understanding common mechanical repairs, and communicating effectively with technicians.

You should be:

• Highly organized and detail-oriented
• Comfortable managing multiple vehicles at different stages of repair
• Able to hold technicians and vendors accountable for timelines
• Familiar with automotive repair terminology
• Comfortable working with repair orders and shop management software
• Able to prioritize work based on urgency and inventory needs
• Strong with follow-up and communication
• Focused on both speed and cost control

How Success Is Measured

This position is about keeping inventory moving. Performance will be measured primarily by recon cycle time, repair-order accuracy, technician workflow, vehicle aging, cost control, and the number of vehicles completed and ready for sale each week/month.This is an excellent position for someone with service department experience who enjoys the operational side of automotive repair but would prefer to work internally rather than dealing with retail service customers.

Previous experience as a Service Writer, Service Advisor, Recon Coordinator, Shop Dispatcher, or Automotive Repair Coordinator is strongly preferred.
