Facilities Project Administrator
Reports to: Facilities Senior Project Manager
Days/Hours: Mon-Fri. 6:00am-2:30pm (this position is in office, not remote)

Job Summary: The Facilities Project Administrator - Trades provides comprehensive
administrative and coordination support to the Facilities Maintenance Supervisor and
skilled trades team. The position supports maintenance, repairs, preventative
maintenance, vendor, purchasing, and work-order activities for RCSC facilities. This
position and the Facilities Project Administrator - Projects are expected to remain cross trained
and provide coverage for one another during vacations or other absences.
Key Duties and Responsibilities:
Input and process department vendor invoices into the company invoice system.
Assign and maintain work orders for skilled trades staff and vendors, as applicable, and
assist with tracking status and completion.
Organize and maintain general office files, including work orders, maintenance
records, vendor records, equipment and service records, and other operational
documents.
Coordinate administrative details for maintenance and repair activities, including
vendor scheduling, facility access, documentation, and follow-up as directed by the
Facilities Maintenance Supervisor.
Procure office supplies, materials, equipment, and other authorized items as needed Assist the Facilities Maintenance Supervisor in developing and managing annual repair
& maintenance, preventative maintenance, and operating budgets, and related capital
needs as assigned.
Prepare and submit maintenance, work-order, and departmental progress and status
reports, as required.
Ensure maintenance, vendor, work-order, and related department documents are
complete, up-to-date, and properly stored.
Maintain cross-training with the Facilities Project Administrator - Projects and perform
that position’s essential administrative duties when assigned to provide coverage
during vacation or other absences.
Participate in required safety training, prioritize safe work practices, and perform
additional relevant duties as assigned.
Qualifications:
High school diploma required; bachelor's degree in business administration, project
management, or a related field preferred.
Minimum of two years of experience in office administration, preferably in a
facilities, maintenance, construction, or skilled-trades environment. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and Access).
Possession of a valid State of Arizona driver’s license.
Knowledge, Skills and Abilities:
Strong organizational skills with the ability to manage multiple priorities effectively.
Excellent attention to detail and adaptability to shifting priorities.
Ability to work independently with minimal supervision while maintaining strong
communication with team members.
High level of professionalism, confidentiality, and discretion.
