The Role Qualifications 

 

The Workplace & HR Coordinator provides day-to-day coordination and administrative support across workplace operations and HR activities, helping to create an organized, efficient, and positive experience. This role supports a broad range of workplace, HR operations, employee experience, and Talent Acquisition. The Workplace & HR Coordinator helps ensure assigned activities and processes are completed accurately, efficiently, and within agreed timelines.  

 

 

Workplace Operations:

  • Assist with daily office checks to ensure shared spaces are clean, organized, stocked, and visitor-ready. 

  • Help maintain office, kitchen, event, and meeting room supplies. 

  • Assist with ordering and restocking supplies as directed. 

  • Submit and track maintenance or facilities requests. 

  • Help coordinate meeting room setups, seating changes, deliveries, shipping, and other workplace requests. 

  • Assist with parking, badges, access, and workplace logistics. 

  • Help prepare the office for meetings, leadership visits, events, and other onsite activities. 

  • Maintain workplace trackers, calendars, inventory lists, and other administrative records. 

  • Escalate workplace issues or requests to the Workplace & HR Operations Coordinator. 

 

 HR Operations Support:

 

  • Help prepare new hire welcome materials, workstations, equipment, and onboarding schedules.Help track completion of required HR documentation and learning activities.  

  • Support the organization and maintenance of HR files and administrative records. 

  • Assist with recurring HR administrative tasks and projects.  

  • Maintain confidentiality when handling employee and HR-related information. 

 

Talent Acquisition Support: 

  • Provide administrative support to the Talent Acquisition team as needed. 

  • Assist with interview scheduling and coordination. 

  • Prepare interview materials and meeting spaces. 

  • Support candidate communications and interview logistics. 

  • Assist with maintaining recruitment trackers and reporting. 

  • Coordinate onsite candidate visits and ensure a positive candidate experience. 

  • Support new hire pre-boarding activities in partnership with Talent Acquisition and HR. 

  • Assist with job posting administration and other recruitment-related projects as assigned.  

 

Employee Experience & Projects:

 

  • Support employee engagement, wellness, recognition, and culture initiatives.  

  • Assist with planning and execution of office events and employee programs.  

  • Support cross-functional projects.  

  • Provide general administrative support to the People & Performance and Workplace teams as needed

 

Qualifications: 

 

  • 1–3 years of experience in office administration, workplace coordination, HR, recruiting, customer service, or a related field preferred.  

  • Strong organizational skills and attention to detail.  

  • Ability to manage multiple tasks and shifting priorities.  

  • Strong written and verbal communication skills.  

  • Comfortable working with employees at all levels of an organization.  

  • Proactive, dependable, and willing to learn.  

  • Strong customer service and problem-solving mindset.  

  • Comfortable using Microsoft Office and/or Google Workspace.  

  • Ability to maintain confidentiality and handle sensitive information appropriately. 

     

Preferred Qualifications: 

 

  • Knowledge of workplace safety standards and office operations. 

  • Experience in fast-paced or high-growth environments preferred. 

  • Previous experience in an office, HR, recruiting, retail, hospitality, or customer service environment.  

  • Experience coordinating events, schedules, or administrative processes.

 Work Environment: 

 

  • Onsite office environment (minimum 3 days) 

  • May require occasional lifting of office supplies, event materials, or equipment. 

  • Flexibility to support workplace events and operational needs outside standard business hours when necessary. 

 

 

PHYSICAL REQUIREMENTS  

  • Ability to move around the store throughout the shift/workday  
  • Ability to lift, carry, push, and pull up to 50 pounds regularly (e.g., boxes or other merchandise packages, bins, clothing racks, stools/ladders)  
  • Ability to regularly squat/kneel (e.g., to access under-storage bins, during visual resets)  
  • Ability to regularly use a ladder, step stool or raised platform safely to complete required tasks
