Job Summary:

HRIS Specialist is responsible for ensuring the effective adoption, configuration, and utilization of HR systems within assigned scope. This role acts as the regional owner and point of contact for HRIS processes, data accuracy, compliance, and user adoption, while collaborating closely with the HR Systems Manager and Admins. The role focuses on regional execution, process harmonization, and compliance across markets.

Key Responsibilities:

  • Plan, implement and maintain HRIS processes aligned with global standards and regional requirements, as per defined scope, responsibilities and defined priorities.
  • Monitor system adoption and performance within assigned scope.
  • Support regional and end market HR teams with HRIS queries and issues.
  • Identify regional opportunities for process improvement and automation.
     
  • Ensure accurate and up-to-date employee data within HRIS systems
  • Generate regional dashboards and reports for business and HR leadership
  • Conduct regular audits to maintain data integrity and compliance with local laws and internal policies
  • Highlight trends, gaps, or anomalies in regional data and recommend improvements
     
  • Ensure regional HR processes comply with local labor laws and internal HRIS policies
  • Maintain consistency with global HR standards and workflows
  • Serve as a liaison between the region, HR Systems Manager, and Admins, and Head of HR.
     
  • Act as the first point of contact for regional HR teams on system issues
  • Train and guide regional HR staff on system usage, workflows, and best practices
  • Support change management during system updates, rollouts, or process improvements
     
  • Partner with HR Systems Manager to standardize processes across markets
  • Provide input on system upgrades, enhancements, and new features
  • Work closely with Admins to ensure smooth operational support for HRIS platforms

Requirements

  • Bachelor’s degree in Human Resources, Information Systems, Business Administration, or related field
     
  • 3+ years in HRIS or HR Technology roles within multinational or multi-market organizations
  • Hands-on experience with HiBob, JazzHR, or similar HRIS platforms
  • Knowledge of HR processes, local compliance requirements, and global reporting standards
  • Experience in regional system adoption and cross-market project support
     
  • Strong analytical, reporting, and problem-solving skills
  • Attention to detail and accuracy in data management
  • Ability to work independently and collaboratively across regions
  • Excellent communication skills, able to present technical concepts to non-technical audiences
  • High initiative, solution-orientation, and integrity
  • Ability to drive process standardization and adoption across markets

KPIs

  • Regional HR system adoption rate: ≥ 90% of HR and business users actively using HRIS
  • Time to resolve HRIS queries: ≥  95% of tickets resolved within SLA
  • User satisfaction score: ≥ 85%  positive feedback from HR teams
 
  • Data accuracy rate: ≥ 98% of employee records correct and complete
  • Compliance adherence: 100% alignment with global policies and regional labor laws
  • Audit completion: 100% of scheduled data audits completed on time
 

●     Process automation adoption: ≥ 75% of regional HR processes automated where feasible

●     Reduction in manual entries: ≥ 50% reduction in manual data handling over baseline

●     Timely completion of HRIS projects: ≥ 90% of projects delivered on schedule

 
  • Timeliness of reports: ≥ 95% of required reports delivered on time
  • Accuracy of reporting: ≥ 98% of reports
    require no correction
  • Insights delivered: Minimum of 2 actionable insights per quarter for HR leadership
 
  • Regional support coverage: ≥ 90% of queries resolved without escalation
  • Cross-functional collaboration: Participation in 100% of assigned HRIS/global initiatives
  • Knowledge transfer & training: Conduct 1–2 regional training sessions per quarter
