Woolpert is seeking a Procurement Coordinator to join its Global Procurement Team in South Africa. This is a fully remote position with working hours from 14:00 to 23:00 South African Standard Time (SAST). The successful candidate will support procurement operations through purchase order administration, procurement record management, supplier onboarding, and compliance with established procurement procedures.

 

Responsibilities

  • Manage the full purchase order lifecycle, including creation, modification, monitoring, issue resolution, and stakeholder support.
  • Review purchase requisitions and supporting documentation to ensure completeness, accuracy, and compliance.
  • Maintain accurate procurement records, vendor information, and documentation within procurement and ERP systems.
  • Support procurement compliance by reviewing purchasing activities and addressing non-compliant transactions.
  • Assist with supplier onboarding, documentation collection, and vendor record maintenance.
  • Coordinate with suppliers, Finance, Accounts Payable, and business stakeholders to support efficient procurement operations.
  • Support procurement audits by gathering and providing required records, approvals, and supporting documentation.
  • Maintain standard operating procedures, work instructions, and training materials related to procurement processes.
  • Identify opportunities to improve procurement workflows, data accuracy, and operational efficiency.
  • Grade 12 / National Senior Certificate (Matric) or equivalent.
  • Bachelor's Degree in Business, Supply Chain Management, Procurement, Finance, Accounting, Operations Management or a related field.
  • Minimum of 5 years' experience in procurement, purchasing, accounts payable, supply chain, finance operations, or related business functions.
  • Proven experience managing purchase orders, supplier onboarding, procurement compliance, invoice resolution, and procure-to-pay (P2P) processes.
  • Experience using ERP systems, preferably Microsoft Dynamics 365 Finance & Operations.
  • Experience using procurement platforms such as Ariba, Coupa, Simfoni, Prokuria, iValua, or similar systems.
  • Advanced proficiency in Microsoft Excel and the Microsoft Office Suite.
  • Strong knowledge of procurement, purchasing, purchase order administration, and procurement controls.
  • Knowledge of procurement documentation requirements, supplier records management, and compliance processes.
  • Excellent attention to detail with the ability to maintain accurate records and data.
  • Strong organisational skills with the ability to manage multiple priorities and meet deadlines.
  • Experience maintaining standard operating procedures, work instructions, and process documentation.
  • Strong written and verbal communication skills with the ability to engage effectively with stakeholders at all levels.
  • Ability to collaborate effectively with suppliers, Finance, Accounts Payable, and cross-functional teams.
  • Strong analytical and problem-solving skills with the ability to identify and resolve procurement-related issues.
  • Ability to work effectively within established policies, procedures, approval workflows, and compliance requirements.
  • Process-oriented, controls-focused, and committed to continuous improvement.
