Our client is looking for a Legal Intake Assistant to support their growing legal practice by managing client communications, intake processes, and lead follow-up activities. They will serve as one of the first points of contact for prospective clients and play a key role in creating a positive client experience. Responsibilities • Handle inbound and outbound calls with prospective and existing clients. • Conduct initial client intake conversations and gather relevant information. • Qualify potential clients based on established criteria. • Maintain accurate records of all client interactions. • Follow up with leads and prospective clients in a timely manner. • Schedule consultations and coordinate appointments. • Enter and update information within the firm's CRM systems. • Communicate professionally with Spanish-speaking and English-speaking clients. • Assist with administrative and intake-related tasks as needed. • Provide compassionate and empathetic support during client interactions. • Collaborate with attorneys and team members to ensure a seamless intake process. • Help improve intake workflows and client communication processes. Requirements • Previous experience in legal intake, client intake, or client-facing administrative roles. • Professional verbal and written communication skills. • Bilingual fluency in English and Spanish. • Strong phone presence and customer service skills. • Ability to build rapport and establish trust with prospective clients. • High level of organization and attention to detail. • Ability to manage multiple conversations and follow-up tasks simultaneously. • Comfortable working independently in a remote environment. • Proactive mindset with a strong sense of accountability. Qualifications • Experience supporting a law firm, legal practice, or legal services organization preferred. • Familiarity with Family Law, Personal Injury, or related legal practice areas is a plus. • Experience using CRM systems for lead management and follow-up. • Strong problem-solving and critical-thinking abilities. • Ability to remain calm and professional when handling sensitive situations. • Demonstrated commitment to continuous learning and professional growth.
