Responsibilities
~1 min read- →Own and manage the master deployment calendar across all customer accounts.
- →Coordinate scheduling between customers, Clinical Deployment Specialists, and internal clinical team members.
- →Confirm, reconfirm, and re-verify all deployment dates, training sessions, and go-live meetings.
- →Proactively identify and resolve scheduling conflicts before they escalate.
- →Coordinate travel logistics in partnership with deployment staff (flights, lodging, itineraries as needed).
- →Create initial client accounts in the Ampa system for use during deployment.
- →Remotely guide customers through device testing to confirm proper functionality several days before the deployment team arrives.
- →Ensure all ancillary components were bought by the client ahead of deployment
- →Remotely review the deployment room to confirm adequate space, appropriate furniture, and other elements critical to a successful deployment.
- →Ensure all pre-deployment requirements are completed prior to scheduled go-live dates.
- Serve as the primary logistical point of contact for customers during onboarding.
- Schedule onboarding calls, training sessions, and milestone meetings.
- Send formal calendar invitations, confirmations, reminders, and follow-ups.
- Maintain organized records of all customer communications and deployment milestones.
- Ensure customers clearly understand timelines, expectations, and next steps.
- Liaise between Operations, Clinical Deployment, and Manufacturing teams to align availability and readiness.
- Track deployment readiness status across accounts and escalate risks early.
- Maintain accurate documentation of deployment progress in internal systems.
- Support continuous improvement of deployment workflows and SOPs.
- Develop and maintain standardized scheduling and deployment tracking systems.
- Create structured checklists to ensure consistent execution across accounts.
- Monitor KPIs related to deployment timing, reschedules, and completion rates.
- Drive operational discipline and process adherence.
Qualifications:
- 2+ years of experience in operations, scheduling, logistics coordination, or healthcare/medical device administration.
- Exceptional organizational skills with high attention to detail.
- Demonstrated ability to manage complex, multi-party scheduling across time zones.
- Strong written and verbal communication skills.
- Comfortable managing multiple parallel workstreams without losing precision.
- Highly reliable with strong follow-through and accountability.
- Comfortable working independently in a fully remote environment.
Nice to Have
~1 min read- Experience supporting healthcare providers, medical device teams, or clinical environments.
- Experience in startup or high-growth environments.
- Familiarity with CRM systems (specifically HubSpot), project management tools, or scheduling software.
- Extremely structured and process-driven, “Type A”.
- Naturally anticipates problems and addresses them proactively.
- Calm under pressure and responsive to last-minute changes.
- Detail-oriented to the point of catching minor inconsistencies others miss.
- Derives satisfaction from operational excellence and flawless execution.
- Strong sense of ownership — treats every deployment as mission-critical.
