The Mailroom Supervisor oversees all mail processing operations within a large‑scale detention facility, ensuring the secure, timely, and policy‑compliant handling of all incoming and outgoing correspondence. This role is responsible for implementing and managing advanced mail‑screening technologies capable of detecting prohibited, hazardous, or illicit materials without opening mail. The Supervisor ensures strict adherence to safety protocols, hazardous‑materials handling procedures, and staff training requirements in accordance with facility, state, and federal standards. This position includes 24/7 coverage, and may include overnight shifts, evenings, weekends, and holiday coverage.

Responsibilities

  • Mail Operations Management
    • Oversee daily mail room operations for a 1,500‑bed detention center, ensuring accuracy, security, and compliance with all applicable regulations.
    • Supervise staff responsible for sorting, logging, screening, and distributing inmate and administrative mail.
    • Maintain chain‑of‑custody procedures for all special correspondence, legal mail, and high‑risk items, in accordance with federal detention standards.
    • Develop and enforce mail room policies, SOPs, and quality‑control measures.
  • Advanced Screening & Detection Technologies
    • Operate and supervise the use of non‑intrusive mail‑screening technologies, including:
      • X‑ray imaging systems
      • Chemical trace detection equipment
      • Biological hazard detection tools
      • AI‑assisted threat‑identification software
    • Ensure all equipment is used in accordance with manufacturer specifications and facility protocols.
    • Coordinate with vendors for maintenance, calibration, and upgrades of scanning systems.
    • Review and interpret scan results to identify prohibited or hazardous materials at trace levels.
  • Hazardous Materials Safety & Compliance
    • Develop, implement, and maintain procedures for the safe handling, containment, and reporting of hazardous materials detected in mail.
    • Ensure compliance with OSHA, Maryland DPSCS standards, and facility safety regulations.
    • Lead incident response actions for suspicious or contaminated mail, including isolation, notification, and documentation procedures.
    • Maintain inventory of PPE, spill kits, and decontamination supplies.
  • Training & Staff Development
    • Provide initial and recurring training for mail room staff on:
      • Mail screening equipment operation
      • Hazardous‑materials identification
      • PPE use and safety protocols
      • Emergency response procedures
      • Chain‑of‑custody and documentation
    • Maintain training records and ensure all staff remain compliant with the required certifications.
  • Administrative & Reporting Duties
    • Prepare daily, weekly, and monthly operational reports.
    • Document all hazardous‑material detections, equipment malfunctions, and security incidents.
    • Assist with audits, inspections, and compliance reviews.
    • Maintain secure records of mail logs, screening results, and staff training.
    • Coordinate with case management and facility leadership regarding time-sensitive legal and court-related correspondence.

Required Qualifications & Core Competencies:

  • High school diploma or GED; associate degree preferred.
  • Minimum 3–5 years of experience in corrections, security operations, mail screening, or related fields.
  • Supervisory experience in a high‑volume or high‑security environment.
  • Working knowledge of hazardous‑materials handling and PPE protocols.
  • Ability to obtain and maintain facility security clearance.

Desired Skills:

  • Experience with X‑ray scanners, chemical trace detectors, or similar security‑screening technologies.

  • Prior experience in a detention or correctional facility.
  • Strong technical aptitude and ability to train others on specialized equipment.

Conditions of Employment:

  • Employees must be a U.S. Citizen or a Legal Permanent Resident
  • Employment is contingent upon successful completion of the following screening:
    • Federal background investigation (up to and including a Tier 4 DHS clearance)
    • Criminal history check
    • Verification of employment and education history
    • Compliance with all government credentialing requirements
    • Drug Screening
  • Employees must adhere to all federal security, confidentiality, and operational protocols while working within government facilities.
  • Must be able to speak, read, and write in English
  • Anovaeon operates 24 hours/365 days and requires the flexibility to work additional hours, nights, weekends, and holidays
  • Must show proof of eligibility to work in the U.S.
  • Internal background check to the satisfaction of contract requirements.
  • If applicable, Child Abuse/ Neglect Report (CAN) or child protective services check with no adverse findings.

Physical Requirements:

  • Ability to sit at a computer workstation for extended periods while conducting data entry and interviews
  • Ability to stand and walk for extended periods during facility operations (up to 8-12 hours per shift)
  • Ability to lift, carry, and move supplies and equipment up to 50 pounds
  • Ability to bend, stoop, reach, and perform repetitive motions
  • Capability to work in varied environmental conditions (indoor/outdoor, temperature variations)
  • Ability to respond quickly to emergency situations throughout the facility
  • Visual acuity for detailed computer work and document review
  • Auditory ability to conduct interviews and monitor facility for safety concerns

Work Environment:

  • Fully onsite position within an ICE processing facility in Maryland
  • Work schedules include 24/7 coverage, and may include shifts overnight, evenings, weekends, and holidays.
  • Standard administrative office and processing facility environment
  • May involve extended periods of computer work and documentation processing
  • Fast-paced operational environment requiring attention to detail and professionalism
