The Workplace Coordinator is an individual contributor who supports the general onsite and remote staff. The Workplace Coordinator works under close supervision of more experienced colleagues within the same technical or support area. Supports professionals in their functions by solving administrative tasks. This position will be based in Princeton, NJ and will report directly to the Senior Director, US Facilities and Workplace.

  • Welcomes guests and employees at front desk
  • Issues door badges to visitors as needed and maintains employee access badge program for the office, including Visitor Management Software.
  • Directs guests to meeting locations throughout their stay
  • Maintains pantry and office supply inventories
  • Coordinate with vendors including janitorial and catering
  • Follows and documents opening/closing procedures daily
  • Assists facility management with coordinating repair services & supporting contractors
  • Receives, sorts, and distributes mail and deliveries
  • Responds to workplace service requests in ticketing system
  • Create and upload weekly updates into Bright Author/ and Microsoft Teams
  • Completes expense reports weekly
  • Supports meeting room set-up and reservations

Requirements

  • Minimum of 2-3 years of experience in reception or customer service role
  • Ability to lift 40 lbs
  • Office attendance required Tuesday – Thursday, core hours are 9:30am-3:00pm
  • Team player, who partners well with others
  • Highly organized, with attention to detail
  • Dynamic and able to take on complete tasks swiftly and thoroughly with sophistication and professionalism even when scheduling conflicts occur
  • A high degree of professionalism and demonstrated ability to maintain confidentiality
  • Demonstrated proficiency with key administrative tools including Outlook, Word, Excel
  • Great verbal and communication skills, provide strong customer service to internal and external stakeholders
  • Able to work independently and with a team
  • Preferred experience with systems, but not required:
    • Microsoft Suite / Teams
    • Concur / Expense reports
    • Brivo / Badge creation
    • Bright Author / Monitor signage uploads
    • Angus, OfficeSpace / facilities ticketing systems
    • Ordering Staples, Amazon, catering sites etc.
    • UPS / shipping services
    • Canva

The estimated salary range for this position is $30 - $35/hr. Actual salary determination is dependent on a variety of factors, some of which include: experience, qualifications, and geographic location. 

Benefits will be dependent on role and provided by the employer of record for this contract role.
