Healthcare Virtual Assistant

About the Role
We are looking for an experienced Healthcare Virtual Assistant to join a growing mental health practice and provide essential administrative and patient support.
This is a hands-on role for someone with a medical/healthcare background who is confident communicating with patients, managing administrative tasks, and navigating healthcare processes such as insurance claims and prior authorizations.
The ideal candidate will be organised, reliable, empathetic, and comfortable working independently in a remote environment.

Key Responsibilities
● Answer incoming patient phone calls and provide professional, friendly support
● Schedule and coordinate patient appointments
● Follow up with patients as required
● Manage and follow up on billing claims
● Assist with insurance claim denials and rejections
● Complete and manage prior authorizations
● Document patient communications accurately within the EHR
● Maintain organised and up-to-date patient records
● Support the practice with general healthcare administration
● Communicate professionally with patients and other members of the healthcare team
● Use RingCentral for phone/VOIP communications
● Work within the practice's EHR system and learn Eikonotes

● Previous experience working in a healthcare or medical environment
● Experience working with an EHR/EMR system
● Strong understanding of healthcare administration
● Experience completing prior authorizations — this is an important requirement
● Experience dealing with insurance claims, denials, and rejections
● Excellent written and verbal English communication skills
● Strong organisational and time-management skills
● Ability to handle confidential patient information professionally
● Comfortable working independently and managing multiple priorities
● Reliable internet connection and a professional remote working environment

● Experience working within a mental health or therapy practice
● Previous experience with Eikonotes
● Experience with RingCentral
● Spanish-speaking ability would be a plus, but is not essential
