We are looking for a highly organized and energetic Event Coordinator to join our Corporate Experience team,  Pune, India. This role will help with planning, coordinating, and executing annual employee engagement events, including RevKO, CLUB incentive program, and a few onsite office events.

The ideal candidate thrives in a fast-paced environment, is passionate about creating exceptional employee experiences, and has strong operational and logistical event management expertise. This position temporarily reports to the Director, Workplace Asia, Middle East, and Africa.

The Corporate Experience team  is focused on creating exceptional employee experiences that foster collaboration, culture, and connection across our global offices and corporate programs. This role plays a critical part in bringing those experiences to life through engaging, well-executed events. 

  • Coordinate and execute internal company events including RevKO, CLUB, cultural celebrations, and onsite engagement activities.
  • Serve as the primary point of contact for India-based employees participating in RevKo and CLUB trips.
  • Assist employees with general event inquiries, registration support, and event-related communications.
  • Partner with the Avalara Immigration team to help connect employees with visa-related resources and support for international travel requirements.
  • Support employees with travel-related questions including logistics, timelines, and event coordination details.
  • Work with the Corporate Experience events team coordinating end-to-end event logistics including venue coordination, catering, transportation, registrations, vendor management, AV requirements, and event setup/breakdown.
  • Partner closely with Workplace, HR, Communications, and business stakeholders to deliver seamless employee experiences.
  • Manage event registration platforms and attendee communications using Cvent.
  • Build and maintain Cvent registration websites, including attendee registration flows, communications, agendas, and event branding.
  • Generate and analyze event reports and attendee data from Cvent to support planning, tracking, and post-event reporting.
  • Troubleshoot Cvent registration website issues and provide technical support to attendees and stakeholders throughout the event lifecycle.
  • Serve as the primary point of contact for Cvent event setup, testing, updates, and onsite registration coordination.
  • Build and manage Cvent event apps for attendees to utilize during major events
  • Track event budgets, invoices, and vendor contracts while ensuring cost efficiency.
  • Develop project timelines, run-of-show documents, and event checklists to ensure flawless execution.
  • Coordinate onsite logistics during events and proactively troubleshoot operational issues.
  • Help foster a vibrant and engaging office culture through innovative event programming.
  • Maintain strong relationships with local vendors, partners, and service providers.
  • Bachelor's degree in hospitality, Event Management, Business Administration, or related field preferred.
  • 3+ years of experience coordinating corporate events, employee engagement programs, or workplace experiences.
  • Extensive hands-on experience with Cvent, including building registration websites, managing attendee communications, pulling event reports, and troubleshooting technical or registration-related issues.
  • Strong understanding of event logistics, vendor coordination, and onsite event execution.
  • Excellent organizational skills with the ability to manage multiple events simultaneously.
  • Strong communication and stakeholder management skills.
  • Ability to work flexible hours when supporting onsite or corporate events
  • Must possess a valid visa and ability to travel internationally outside of India, including United States, Europe, and other countries.
