As an Onboarding Coordinator, you will play a key role in supporting future and current field employees through the onboarding and compliance process. You’ll help ensure employees are welcomed with excellence, documentation is completed accurately, and all required steps are in place so caregivers can begin and continue work successfully.
Responsibilities

Coordinate pre-boarding and onboarding activities for new field employees

Track required credentials, clearances, employment documents, and onboarding steps

Support post-hire processes including I-9, E-Verify, employment authorizations, and employee file updates

Help ensure employee records are complete, accurate, and maintained in accordance with company requirements

Monitor certifications, trainings, in-services, and other compliance requirements

Coordinate re-certifications, annual requirements, and follow-up items needed for continued employment

Partner with office and clinical leaders to support evaluations, competencies, and employee readiness

Assist with rehires, reactivations, status changes, and related system updates

Welcome field employees and candidates into the office with compassion, excellence, and reliability

Serve as a helpful point of contact for onboarding questions, employee needs, and general support

Support employee recognition, retention activities, and engagement touchpoints

Share information related to benefits, resources, and employee support programs as appropriate

Prepare orientation materials and assist with administrative responsibilities related to new hire orientation

Coordinate with office staff regarding orientation schedules, onboarding timelines, and employee updates

Help maintain office workflows related to onboarding, employee file management, and compliance reporting

Collaborate with the team on process improvements that strengthen the employee experience and office efficiency
Requirements

High school diploma or equivalent

Strong customer service, communication, and interpersonal skills

Comfort working in a fast-paced office environment with changing priorities and high administrative volume

Strong attention to detail and ability to manage documentation accurately

Proficiency with computers and ability to learn systems used for scheduling, documentation, email, reporting, and employee records

Alignment with The BAYADA Way and a genuine desire to support employees, clients, and office teams
Nice to Have

1+ years of experience in onboarding, recruiting coordination, employee services, healthcare administration, home care, or an office-based support role

Experience managing employee files, compliance documentation, or hiring/onboarding workflows

Experience working with sensitive or confidential employee information

Knowledge of the local community and service area
