The Orders Management Coordinator is the primary owner of the physician order signature process across Bloom's primary care and hospice lines of service. This role ensures every order is signed accurately and on time using Suture Health, maintains strong working relationships with external home health and hospice agency partners, and serves as the subject matter expert on Bloom's order signing workflows. The Coordinator also manages the full 485 certification and re-certification cycle - pulling, reviewing, and delivering documents to the billing team for timely processing. As Bloom continues to invest in AI-driven tools to streamline clinical operations, this role will provide hands-on feedback and help shape how those tools are adopted and refined.


KEY RESPONSIBILITIES
Order Management and Signature Oversight
  • Own the end-to-end order signature workflow for all home health and hospice orders using Suture Health, ensuring timely completion in accordance with regulatory and payer requirements.
  • Monitor outstanding orders daily, proactively following up to prevent signature delays or lapses.
  • Verify that every incoming order corresponds to a current Bloom patient before routing for signature - flagging and resolving discrepancies promptly.
  • Maintain accurate records of order status, signature dates, and any exceptions or escalations.
  • Upload completed certifications and re-certifications to the billing team in a timely manner to support clean claim submission.
Partner Communication and Education
  • Serve as the primary point of contact for home health and hospice agency partners regarding order submission and signature processes.
  • Educate new and existing partners on Bloom's order signing procedures, Suture Health workflows, and submission requirements.
  • Build and maintain collaborative relationships with partner agencies to facilitate smooth, timely order processing.
  • Identify recurring submission issues with partners and work proactively to resolve root causes through education or process adjustment.
General Administrative Support
  • Manage incoming and outgoing faxes related to orders, ensuring prompt routing and documentation.
  • Maintain confidentiality and security of all patient records and order documentation in compliance with HIPAA requirements.
  • Collaborate cross-functionally with clinical, billing, and operations team members to support seamless care coordination.
  • Assist in developing and updating standard operating procedures for order management and related workflows.
QUALIFICATIONS
  • Preferred experience in a healthcare administrative role, preferably in home health, hospice, or a similar clinical operations environment.
  • Proficiency in Microsoft Office Suite; comfort learning new software tools quickly.
  • Strong organizational skills with the ability to manage high-volume workflows and competing deadlines without sacrificing accuracy.
  • Excellent written and verbal communication skills - comfortable educating external partners and collaborating with internal clinical and billing staff.
  • Openness to working alongside emerging AI tools and providing meaningful feedback to improve their effectiveness.
  • Knowledge of HIPAA and healthcare data security best practices.
COMPENSATION AND BENEFITS
The salary for this position is competitive and commensurate with experience. The pay range for this role in the state of Colorado typically falls between $22.00 and $25.00 hourly. Actual compensation may vary based on qualifications, experience, and location.
