An exciting opportunity has become available in the Pitch Department in our Johannesburg office for a Pitch Coordinator. The successful applicant will be tasked with facilitating the efficient administration process of bid compilation, bid reviews and in particular associated bid documentation. Responsible for coordinating, maintaining and updating company data, professional profiles and client reference information from various practice areas. Source and incorporate updated material on the relevant Bid Library.
Responsibilities
~2 min read- →Provide comprehensive administrative support for Supplier Registrations, Tender Documents, and Expressions of Interest across an array of clients.
- →Coordinate with authorised signatories to obtain approvals for necessary forms and documentation.
- →Retrieve and furnish relevant company documents upon request.
- →Source and structure project references and completed supplier-specific forms according to client requirements.
- →Offer informed guidance and assist in managing relationships with consultants and external organisations.
- →Identify potential opportunities and track projects by collecting market and project intelligence.
- →Maintain company data responsibly, ensuring its availability, integrity, confidentiality, and security.
- →Consistently and accurately update bid data to facilitate the development of bidding statistics and analysis.
- →Collaborate both virtually and in person with business teams, including operations and fee earners, to plan, coordinate, and deliver innovative, high-quality, and client-focused pursuit and proposal documents within deadlines.
- →Utilise word processing, data management, and industry-specific software to edit and finalise proposals.
- →Strategically plan and supervise the development process for pursuit and proposal documents, overseeing contributors, activities, timelines, and deadlines.
- →Participate in each phase of the business development process, from initial client engagement through document production and delivery to post-proposal debriefs.
- →Liaise with the external design team to integrate proposal strategies into pursuit and proposal concepts and designs.
- →Support the preparation of commercial offers as part of a collaborative team.
- →Share knowledge and contribute to the team’s library, maintaining generic proposal materials and working alongside the specialists to ensure ongoing review, revision, and reapproval.
- →Aid in the production of final bid documents and arrange their delivery to clients within stipulated tender deadlines and formats.
- →Ensure all bid and proposal documents are professionally formatted, collated, and presented.
- →Develop project timelines, such as compulsory briefing sessions, and bid submission reviews, while managing inputs by keeping agendas, attendance records, and action trackers up to date.
- →Input data into various SharePoint databases, including the bid library.
- →Coordinate with the administrators responsible for classified document storage, adhering to procedures and regulations.
- →Monitor bids and quotations throughout the process, providing weekly status or exception reports as required.
- →Record all opportunities in the supplier development database for accurate tracking and production of bidding statistics and analysis.
- →Maintain and update file structures on SharePoint and saving content appropriately.
- →Undertake additional administrative duties as assigned.
Requirements
~1 min read- APMP Membership advantageous
- 5 years' experience in Pitches
- Relevant Degree, Diploma or Certificate in law, Marketing, Business Development
- Computer literate and proficient in the use of MS software particularly Word, Excel, Outlook, PowerPoint as well as Adobe Pro
- Previous experience developing pitch documents within the legal environment
- Meticulous attention to detail
- Proficient prioritisation and organisational skills
- Exceptional verbal and written communication abilities
- Advanced interpersonal competencies
- Methodical approach to task delivery
- Proven discretion and commitment to maintaining confidentiality
- Demonstrated tenacity and resilience under pressure
