The Coordinator, Valuation supports the appraisal process by coordinating data collection, managing appraiser and internal review workflows, and ensuring timely, accurate delivery of appraisal materials. This role works closely with Accounting, Portfolio Oversight, Investments, and Property Management teams, as well as external appraisers, to track deadlines, review reports for accuracy, and maintain organized documentation.  In addition, the Coordinator provides general administrative support and assists with ad-hoc and miscellaneous tasks to support the operation of the Valuation team. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a deadline-driven environment.

  • Coordinate the transmission of supporting data from CIM to external appraisers.
  • Request, assemble, and organize appraisal support materials, including rent rolls, income statements, budgets, lease agreements, construction costs, project timelines, etc. for the appraisal process.
  • Upload and manage assembled information to ShareFile folder or other designated platforms for appraiser access.
  • Track, manage and prioritize appraiser information requests to ensure responsiveness and adherence to deadlines.
  • Monitor appraisal timelines and due dates; log  appraisal draft reports into the appraisal valuation trackers.
  • Distribute draft appraisal reports to the appropriate CIM review team members and coordinate review process.
  • Follow up with internal review teams to ensure review comments are received by established deadlines.
  • Review draft appraisal reports for mathematical accuracy and narrative consistency. Identify and flag significant variances.
  • Assist with verification and reconciliation of accounting data within appraisal reports, including construction costs, remaining balances, condominium unit sales, and historical financials. 
  • Request, review and upload final appraisal reports to ShareFile upon completion of the deadline.
  • Prepare meeting agendas and drafting and finalizing meeting minutes.
  • Prepare and coordinate execution of contract approval forms, engagement letters, not reliance letters and related documentation.
  • Coordinate and schedule meetings and site inspections.
  • Track and review vendor invoices for accuracy and ensure timely payment.
  • Distribute miscellaneous correspondences to CIM team members.
  • Provide general administrative support, including assistance with the property tax appeal process and preparing special reports when required.
  • Bachelor’s degree from an accredited university (in Business, preferred).
  • 3-5 years prior experience working within the Real Estate industry in an accounting or finance role. 
  • Proficient with Microsoft Office including Outlook, Word, Excel, PowerPoint, Teams required.
  • Willingness to learn new software tools such as Argus, Yardi, and SharePoint.
  • Ability to independently organize, prioritize and manage multiple tasks, including repetitive processes, in a detailed and deadline-oriented environment.
  • Proven ability to deliver timely, accurate work under pressure.
  • Ability to review, interpret, and reconcile financial and supporting documentation.
  • Proactive in identifying potential delays or issues and resolving them independently.
  • Strong problem-solving skills with the ability to apply practical, common-sense judgment.
  • Strong analytical skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Comfortable working cross-functionally with internal teams and external service providers.
