THE POSITION: BUSINESS OPERATIONS ASSOCIATE
Role Overview
As the Business Operations Associate, you will report to the Senior Director of Business Operations and work closely with the Operations Systems Associate, as well as partners across Finance & Accounting, HR, Marketing, Construction & Facilities, and restaurant leadership, to support the group’s growth and day-to-day operations. This is a hands-on support role for someone who thrives in a fast-paced, multi-unit hospitality setting, enjoys juggling many priorities at once, and is excited to find smarter ways to work, automate routine tasks, and help the team make better decisions.
Key Responsibilities
- Growth & New Openings:
- Support the Senior Director throughout the deal-making phase of growth, including site research, lease comparisons, and diligence materials.
- Assist with financial tracking for construction projects.
- Help keep the master project checklist up to date for new restaurant openings, relocations, and major capital improvements, and follow up with internal and external stakeholders on open items.
- Compliance & Licensing Support:
- Help maintain the group’s master compliance calendar.
- Support the timely filing and renewal of entity-level requirements across all jurisdictions (e.g., liquor licenses, health department permits, sidewalk café permits, and operating licenses) by preparing documents, tracking deadlines, and flagging upcoming renewals.
- Coordinate with the stakeholders responsible for completing specific filings.
- Vendor & Contract Administration:
- Track contract renewal dates and key terms.
- Support the Senior Director of Business Operations in preparing for negotiations, comparing terms, and drafting contract language.
- Risk Management & Insurance:
- Assist with administration of the group’s insurance portfolio (General Liability, Property, etc.).
- Help gather documentation for claims, annual insurance audits, and renewals.
- Support collection and tracking of COIs for vendors, contractors, and landlords.
- Cross-Functional Coordination:
- Collaborate with the appropriate individuals on entity setup, corporate filing requirements, and multi-unit operational rollouts that need logistical coordination.
- Operational & Financial Analysis Support:
- Support the Senior Director of Business Operations with data analysis across our operating restaurants.
- Help build and maintain reports and dashboards that track location-level performance, trends, and budget vs. actuals.
- Help identify variances, opportunities, and outliers across units.
- Partner with Finance & Accounting and the Operations Systems Associate to make sure data is accurate and reporting is consistent.
- Special Projects:
- Partner with the Senior Director of Business Operations on ad hoc initiatives as priorities evolve.
- AI & Process Efficiency:
- Use Claude and other AI tools every day to speed up research, drafting, document review, and analysis across all areas of Business Operations.
- Help identify manual, repetitive processes and work with the Senior Director to automate or streamline them.
- Assist in building and refining AI-powered workflows, templates, and prompts the team can reuse.
WHAT MAKES YOU GREAT:
- 2–4 years of experience in operations consulting, business operations, or project management, preferably in a hospitality or retail setting
- Advanced proficiency in Excel and PowerPoint, with the ability to build clear tracking systems and polished, leadership-ready materials
- Thrives in a fast-paced, high-growth environment, juggling shifting priorities, deadlines, and stakeholders without dropping details
- Collaborative, team-first mindset; comfortable in a support role and motivated by helping others succeed
- Highly organized, process-driven, persistent, and skilled at building structured workflows
- Strong project coordination skills, including managing project checklists and keeping internal and external stakeholders on track
- Exceptional attention to detail and strong written and verbal communication skills
- Hands-on experience with, or strong enthusiasm for, AI tools such as Claude, plus a natural instinct for finding more efficient ways to work
- Curious self-starter who proactively spots problems and drives them to resolution

The base pay range for this position is $75,000-$100,000 per year. The determination of what a specific employee in this job classification is paid within the range depends on several factors, including but not limited to prior employment history/job-related knowledge, qualifications, and skills.
