Creative Church is looking for a sharp, highly organized, proactive Office & Executive Administrative Assistant to help keep our church office, systems, and executive team operating at a high level.

This is not simply a receptionist or basic clerical position. We are looking for someone with strong critical-thinking and executive-function skills who sees what needs to be done, solves problems, creates systems, and takes initiative without needing to be constantly directed.

The right person loves organization, thinks several steps ahead, notices details others miss, and enjoys helping leaders and teams operate more effectively.

What You'll Do:

Office Administration

  • Help oversee the day-to-day organization and function of the church office
  • Maintain office supplies and inventory
  • Anticipate supply needs and place orders before items run out
  • Track office-related expenses and work within established budgets
  • Organize storage, workrooms, supply areas, shared spaces, and administrative systems
  • Receive, organize, and distribute deliveries, mail, and packages
  • Coordinate vendors and resolve routine office-related issues
  • Run occasional errands and handle practical administrative needs
  • Help create systems that make the office more organized, efficient, and excellent

Executive Team Support

  • Provide administrative support to members of the executive leadership team
  • Coordinate meetings, appointments, documents, and follow-up as assigned
  • Help turn conversations and decisions into clear next steps
  • Track projects, deadlines, and outstanding action items
  • Prepare documents, spreadsheets, reports, presentations, and other administrative materials
  • Research solutions, gather information, and help leaders make informed decisions
  • Assist with special projects and changing priorities
  • Handle sensitive information with discretion and professionalism

Systems & Problem Solving

  • Identify administrative problems and take initiative to solve them
  • Develop better systems when existing processes are inefficient or unclear
  • Think ahead rather than waiting for problems to happen
  • Learn new software and technology quickly
  • Use AI tools appropriately to increase efficiency, research, organize information, draft materials, and improve workflows
  • Help the team find smarter and more efficient ways to accomplish recurring tasks

Who We're Looking For:

This position requires someone with unusually strong executive-function skills.

You may be a great fit if you:

  • Are extremely organized and dependable
  • Have strong critical-thinking and problem-solving abilities
  • Naturally take initiative
  • Can receive a goal without needing every individual step explained
  • Know how to prioritize when several things need attention at once
  • Follow through and close loops
  • Notice details and anticipate needs
  • Can shift between administrative work, executive support, practical office needs, and unexpected problems
  • Communicate clearly and professionally
  • Are comfortable working independently
  • Have excellent judgment and know when to make a decision and when to ask
  • Are teachable, flexible, and able to thrive in a fast-moving ministry environment
  • Handle confidential information with maturity and discretion
  • Have a genuine heart to serve the local church and support its mission

Technology Skills

Candidates should be comfortable with basic office technology and able to learn new platforms quickly, including:

  • Microsoft Word
  • Microsoft Excel
  • Microsoft PowerPoint
  • Microsoft Outlook
  • Shared calendars and cloud-based file systems
  • Online ordering and inventory management
  • AI tools such as ChatGPT and other productivity tools

What Success Looks Like

Success in this role means the office runs better because you're there.

Supplies don't unexpectedly run out. Details don't continually fall through the cracks. Leaders aren't spending executive-level time solving basic administrative problems. Projects have follow-through. Workspaces are organized. Information is easy to find. Problems are addressed instead of simply reported.

Most importantly, when you see something that needs attention, your first instinct is:

"Let me figure out how to solve that."

Schedule & Growth

This position will begin as a part-time role, with hours and schedule determined based on the candidate and ministry needs.

For the right person, there is significant potential for the position to grow into a full-time role with increased responsibility as Creative Church continues to grow and organizational needs develop.

We are looking for someone who isn't simply searching for a part-time job, but who could potentially grow with our team and become an increasingly valuable part of the administrative and executive infrastructure of Creative Church.
