This is a rare opportunity to partner with a progressive Global Chief Financial Officer and Company Secretary in a privately owned, high‑growth organisation with operations across Australia, Canada, the US and the UK.
About the Role
~1 min readReporting directly to the Global CFO, you will provide high‑level executive support and act as a true business partner, enabling the CFO to focus on strategic priorities and maximise organisational impact. This role goes well beyond traditional diary and travel management – you’ll be deeply involved in board and governance support, executive communication, stakeholder management and strategic initiatives across a diverse global portfolio including Finance, Commercial Finance, Treasury, Tax, M&A, Legal, Compliance, Supply Chain, Property and Reporting.
The CFO is highly progressive in the use of emerging technologies and AI to drive better decisions and productivity, so this role will suit someone who embraces innovation and enjoys finding smarter ways of working.
Responsibilities
~1 min read- →Provide high‑level executive support to the Global CFO and Company Secretary, ensuring seamless management of day‑to‑day priorities.
- →Own a complex, international calendar across multiple time zones, proactively resolving clashes and protecting the CFO’s time.
- →Coordinate domestic and international travel, including flights, accommodation, visas, itineraries and key meetings.
- →Manage inbox and correspondence, drafting communications and responding on behalf of the CFO where appropriate.
- →Act as primary point of contact for internal and external stakeholders, ensuring professional and timely communication.
- →Support board, committee and executive leadership meetings – scheduling, agendas, papers, presentations, minutes and action tracking.
- →Prepare high‑quality presentations, reports and briefing materials for the CFO, Board and senior leaders.
- →Maintain accurate and confidential records and documentation in line with governance requirements.
- →Identify opportunities to streamline processes and leverage technology and AI‑enabled tools to improve productivity and outcomes.
You’re an experienced Executive Assistant who thrives in complexity, loves being across the detail and is confident engaging with senior stakeholders.
You’ll bring:
- Significant experience supporting senior executives (ideally CFO or C‑suite) in a fast‑paced, complex organisation.
- Demonstrated experience managing competing priorities across multiple functions and stakeholders, with strong judgement and discretion.
- Experience supporting board/governance processes and/or company secretary activities (highly regarded).
- Advanced Microsoft Office skills (Outlook, Word, PowerPoint, Excel, Teams) and strong document management capabilities.
- Digital savvy and genuine interest in innovation and AI‑enabled tools to enhance ways of working.
- Exceptional organisation, planning and execution skills, with meticulous attention to detail.
- Strong relationship‑building capability and confidence dealing with board members, executives and external partners.
- Absolute commitment to confidentiality, professionalism and ethical conduct.
Formal qualifications in Business Administration or a related field will be highly regarded but are not essential.
- High‑impact partner role to a Global CFO in a growing, international business.
- Significant exposure to senior leadership, board activity and key strategic initiatives.
- Hybrid work – based in Dandenong South with flexibility to work from home and other locations including Mt Eliza as required.
