The Group Events Administrator provides administrative and operational support for the Groups and Reservations department, assisting with group proposals, contracts, deposits, billing, event coordination, and guest communications. This role works closely with multiple resort departments to support accurate event planning, seamless execution, and a high-quality guest experience
- Secure signed contracts and deposits in a timely manner.
- Edit and create group proposals.
- Ensure initial and final payments, as well as contracts, meet all deadlines.
- Assist in gathering and organizing all necessary information related to group reservations, events, and tournaments, including room reservations, tee times, and dining arrangements.
- Assist in addressing guest inquiries and supporting the resolution of complaints under guidance.
- Create banquet event orders, or BEOs, for non-group events, including but not limited to cottage dining.
- Coordinate with Groups to ensure billing allocations are properly set for incoming groups.
- Manage and maintain positive cross-departmental relationships on behalf of the Groups department.
- Order supplies and monitor the budget for the Groups and Reservations department.
- Conduct professional and welcoming guest orientations or site tours as needed, providing information on resort facilities, amenities, services, and policies.
- Maintain and update the groups calendar to ensure accuracy.
- Work closely with the Food & Beverage Events team to coordinate group dining events.
- Assist in producing month-end and requested reports.
- Assist in managing corporate and winter event requests with our third-party consultant.
- Audit folio statements during and after events to ensure billing accuracy and timely final payment of master folio invoices.
- High school diploma required. College degree preferred.
- Familiarity with Microsoft Office including Word, Excel, and Outlook.
- Strong written and verbal communication skills, including clear, concise correspondence.
- Excellent interpersonal skills with a strong customer service mindset.
- Highly organized and detail-oriented, with strong time management and multitasking abilities.
- Demonstrates critical thinking and problem-solving skills.
- Ability to anticipate needs and adapt to changing priorities.
- Professional demeanor, emotional intelligence, and a consistently positive attitude.
- Ability to work flexible hours, including evenings, weekends, and during peak event periods.
- Comfortable working independently and collaboratively in a fast-paced environment.
- Hybrid position with time spent both remotely and on site.
- Regular use of computers, phones, and event or reservation systems.
- Must be able to communicate clearly with guests, team members, and leaders.
- Requires sitting, standing, walking, bending, and moving throughout the workday.
- Periodic outdoor exposure related to resort operations and events.
- Must be able to lift up to 30 lbs occasionally.
