The Case Aide serves as an important first point of contact for individuals seeking services and support. In this role, you will help welcome participants and visitors, provide information about programs and eligibility, assist with the intake process, maintain participant records, connect individuals with community resources, and provide administrative support to keep services running smoothly.

Responsibilities

As a Case Aide, you will:

  • →Welcome visitors and help connect them with the appropriate staff or services.
  • →Answer incoming calls, route calls, and take messages.
  • →Conduct initial eligibility screenings and help establish new participant files.
  • →Schedule intake appointments for new participants with Case Managers.
  • →Assist Case Managers with new participant intake activities and Job Foundations.
  • →Maintain accurate participant documentation and records.
  • →Scan, file, organize, and upload documents into the SETWorks database.
  • →Research community resources and make referrals to outside agencies and service providers when appropriate.
  • →Develop and maintain professional relationships with community partners and care providers.
  • →Provide coverage and support for Case Managers, Placement Specialists, and Community Support Specialists when needed.
  • →Assist with community outreach activities.
  • →Help maintain office supplies and coordinate supply requests.
  • →Complete other duties as assigned.

A successful candidate will have strong communication and customer service skills along with the ability to stay organized and manage multiple responsibilities.

You should be comfortable:

  • Communicating professionally both verbally and in writing.
  • Providing excellent customer service to participants, families, community partners, and other stakeholders.
  • Managing a multi-line phone system.
  • Documenting services and maintaining organized records.
  • Using computers for typing, email, document management, and data entry.
  • Researching community resources.
  • Completing assignments accurately and within established timeframes.
  • Working both independently and as part of a collaborative team.
  • High school diploma or GED with additional college-level or specialized human services training required.
  • Undergraduate degree in psychology, sociology, special education, or a related field preferred.
  • At least one year of human services experience.

Requirements

  • Have a valid, current Washington State driver's license.
  • Maintain a safe driving record.
  • Provide proof of automobile insurance when driving a vehicle for work purposes.
  • Be able to successfully complete required background and employment eligibility requirements.
  • First Aid/CPR certification is preferred.

This position primarily works in an office environment with occasional travel. The role utilizes Microsoft Office applications, including Excel, Outlook, Publisher, and Word, as well as the SETWorks database.
