Position Summary
The Tribal Council Secretary is an appointed official selected by the Hualapai Tribal Council. This role serves as the primary custodian of official records and the coordinator of legislative activities. The Secretary operates without independent tribal council authority, focusing exclusively on the administrative integrity, documentation, and scheduling of the Council’s business. This position requires high-level coordination with the Office of the Chairman and the Office of the Vice-Chairman to ensure seamless governmental operations.
Duties and Responsibilities
- Records Management: Responsible for keeping accurate, permanent records of all Tribal Council meetings.
- Minute Production: Must produce comprehensive and accurate meeting minutes within 72 hours of the conclusion of each session.
- Agenda Development: Work directly with the Executive Secretaries of the Office of the Chairman and Vice-Chairman to draft, finalize, and distribute official Council agendas.
- Calendar Coordination: Maintain and update the Tribal Council’s master calendar; provide updated monthly calendars to leadership and relevant departments.
- Inter-Departmental Collaboration: Act as a team player by coordinating with the Events Coordinator to ensure all community and governmental events are reflected accurately in the Council’s schedule.
- Equipment Operation: Manage and operate digital recording devices to ensure all proceedings are captured for the record.
Required Skills & Qualifications
- Administrative Expertise: Advanced secretarial skills, including proficiency in professional correspondence and document formatting.
- Technical Proficiency: Skilled in the use of computers (Microsoft Office Suite/Google Workspace) and the operation of audio-visual or digital recording equipment.
- Organization: Exceptional time-management skills with a proven ability to meet strict 72-hour deadlines for legal documentation.
- Communication: Strong interpersonal skills to work effectively within the Executive Office environment.
Employment Requirements
- Appointment: Must be selected and appointed by the Hualapai Tribal Council.
- Background: Must successfully pass a complete, comprehensive background check.
- Licensure: Must possess and maintain a valid Arizona Driver’s License.
