This is a highly visible, executive-level administrative role supporting the Department Chair and two additional senior leaders. The position requires a high degree of professionalism, discretion, and the ability to manage complex priorities in a fast‑paced environment with minimal supervision.

  • Strong ability to remain calm and effective in high‑pressure or challenging situations
  • Excellent communication and interpersonal skills

Responsibilities

  • Manage recruitment activities and coordination
  • Oversee and maintain the Chair’s calendar, including complex scheduling
  • Support department events and meeting planning
  • Organize and facilitate department meetings
  • Provide comprehensive administrative support to three senior leaders

Provides high-level administrative and technical support to departmental leaders and teams across IU Health. Operates with minimal supervision and is responsible for managing complex workflows and supporting departmental or enterprise-level initiatives, including coordination, tracking, and reporting across multiple stakeholders.

Mentors junior and intermediate administrative staff, including onboarding and training. Assists with the preparation of high-quality presentations, reports, and correspondence for internal and external stakeholders. Serves as a liaison between leadership, staff, and external partners to ensure timely communication and follow-up.

Requirements

  • High School Diploma or GED required
  • 4–6 years of relevant administrative experience in a healthcare or complex organizational environment
  • Demonstrated experience supporting senior leaders and handling sensitive and confidential information
  • Experience working in a matrixed organization or highly complex work environment preferred
  • Advanced proficiency in Microsoft Office, including Word, PowerPoint, and Excel
  • Proficiency with electronic medical records (EMR) systems and medical terminology for clinically focused roles
