Jetfly Aviation is the Jetfly division dedicated to fractional aircraft ownership, serving over 500 co-owners across Europe. Luxembourg hosts the operational hub and administrative departments, ensuring smooth day-to-day operations and high-quality service for all co-owners.


About the Role


We are seeking a Fleet Operations & Billing Coordinator to join our Aircraft Management division. This role is built for someone who truly understands how an aircraft operation runs and who brings the analytical mindset to translate that operational knowledge into financial clarity and rigorous account coordination.


You come from the field. You know what it means to coordinate a maintenance event, understand why an AOG disrupts a schedule, anticipate a crew positioning cost, or challenge an invoice that doesn't add up. You've lived the operational complexity of aviation and now you want to use that experience to support the management of aircraft on behalf of clients, ensuring costs are tracked accurately, billing is handled with precision, and every financial report tells a story that can be trusted.


At the heart of this role is operational and billing ownership. Working in close collaboration with our Key Account Managers, operations teams, and supply chain department, you will ensure that all costs related to your portfolio of managed aircraft are correctly captured, validated, and reported. You are the backbone of financial accuracy for the accounts you support.


This is not a pure finance role, nor a pure client-facing role. It's a role for someone who speaks the language of aviation operations and can apply it to cost tracking, invoice validation, and financial reporting with rigor, curiosity, and a genuine ease with numbers.


Job Description


Financial Management & Cost Control

  • Own the P&L of assigned managed aircraft accounts, ensuring financial targets and client budgets are met.
  • Prepare detailed monthly and annual cost reports, providing full transparency on all operating expenses (maintenance, crew, fuel, insurance, handling, navigation fees, and beyond).
  • Monitor actual costs against approved budgets, proactively flagging variances and proposing corrective actions.
  • Identify cost optimization opportunities and coordinate with the supply chain department to implement them, without compromising service quality or safety standards.
  • Review and validate supplier invoices, ensuring billing accuracy and consistency with contractual terms.
  • Coordinate with the supply chain and NPGO teams to ensure competitive and consistent rates across the portfolio.
  • Deliver benchmarking analysis, positioning each account's cost structure against market standards.
  • Coordinate with the finance department to ensure timely invoicing, collections, and financial reconciliation.


Account Coordination & Service Delivery

  • Coordinate with operations, maintenance, crew scheduling, and technical teams to ensure seamless and fully compliant service delivery.
  • Ensure all expenditure and service decisions are aligned with client-approved budgets and operational guidelines.
  • Support Key Account Managers as the escalation point for any operational or financial issues impacting your accounts.
  • Maintain accurate and up-to-date account data across CRM and financial management platforms.
  • Conduct regular account reviews to assess financial performance, anticipate evolving needs, and align service delivery accordingly.


Internal Communication & Account Support

  • Work in close coordination with Key Account Managers, acting as their financial and operational backbone for all account-related matters.
  • Ensure clear, structured, and proactive communication across all internal stakeholders’ operations, maintenance, finance, and supply chain.
  • Handle sensitive situations with discretion, professionalism, and a solution-first mindset.
  • Support the broader account management team with reliable data, accurate reporting, and timely follow-ups.



Profile


  • 2 to 3 years of experience in scheduled or non-scheduled aviation, in roles such as aircraft management, flight operations, charter coordination, trip support, or FBO operations. Experience in a managed fleet environment is a strong asset.
  • A genuine affinity for numbers, billing, and financial analysis. You don't need to be a trained accountant, but you are comfortable working with budgets, validating invoices, questioning a cost line, and building clear financial reports.
  • A solid understanding of the full cost structure of operating an aircraft maintenance events, crew costs, fuel, handling, insurance, navigation fees and the ability to read and challenge them intelligently.
  • Strong communication skills and a natural ease with people. You will work closely with internal teams on a daily basis. Prior experience in direct client management is not required, but you must be clear, structured, and confident in the way you communicate.
  • Highly organized, detail-oriented, and able to handle multiple accounts simultaneously without losing rigor or accuracy.
  • Comfortable working with CRM tools, Excel, and reporting platforms.
  • Fluency in both French and English is mandatory.
  • Discretion, professionalism, and a solution-oriented mindset are essential in a fast-paced, high-standard environment.
