JOB SUMMARY: The Sales Support Specialist primary responsibility is to book Discovery Visits and Real Estate tours for the Sales Executives within his or her region. This is accomplished by calling Prospects that have been assigned to their region of interests and marketing/selling them on The Cliffs lifestyle. The Sales Support Specialist will play a crucial role in introducing prospects to The Cliffs, inviting them to visit and tour, and completing the pathway with coordination of the visit. They must maintain a meticulously organized database of less than 400 sales Prospects at any given time. Timely follow up with each Prospect is essential to the success of this role. This position will also handle the itinerary for all Discovery Guests within the Asheville Office and manage all Discovery homes on campus. You will receive a bonus for the sales that are generated from your database of existing leads and new leads that you receive. This person will also work closely with the Office Manager and cover the office on Mondays. They are responsible for managing Cliffs Realty’s portfolio of listings. This includes but is not limited to website management and marketing of listings, MLS maintenance and input, and coordination and storage of contract documentation. In addition, this role is responsible for entering all new contracts into Property Base and updating them with any necessary changes and/or at closing in a timely manner. The Sales Support Specialist shall be responsible for maintaining a valid Real Estate license in North Carolina and must be proficient in Property Base and MLS. 

 

JOB DUTIES:

 

  • Qualify leads through phone, email, written correspondence, and sales presentations while building relationships and following up with prospective clients to achieve sales goals.
  • Introduce qualified prospects to the appropriate Asheville Region Sales Executive and coordinate property tours, Discovery Guest itineraries, and related communications.
  • Provide prospects with Cliffs information and professionally discuss financial qualifications during the sales process.
  • Ensure Discovery homes are guest-ready by conducting walkthroughs, identifying maintenance needs, and coordinating housekeeping, maintenance, and inventory supplies for on-campus stays.
  • Coordinate with accounting to ensure accurate Discovery Guest billing and securely obtain credit card information.
  • Maintain strong product knowledge and apply effective sales techniques in accordance with legal, ethical, and company standards.
  • Manage and track assigned database contacts daily.
  • Perform all listing-related duties, including listing presentations, CMAs, Exclusive Right to Sell agreements, MLS/Property Base/website entry, photography and vendor coordination, marketing requests, and maintaining accurate listing information.
  • Prepare and provide sales reports, listing data, trend analysis, and other statistics for management, meetings, and marketing purposes.
  • Create and edit drone footage and video presentations for listings on MLS, Zillow, and other media platforms.
  • Coordinate tours, listing appointments, outside broker home access, and communications with Sales Executives, clients, and other parties as needed.
  • Monitor listing and Seller Disclosure expiration dates, maintain active listing reports, and ensure timely follow-up and owner feedback communication.
  • Work closely with the Cliffs Builder team to manage builder listings, pricing updates, and contract entry into Property Base.
  • Provide Sales Executives with resale property information as requested.
  • Follow all company policies, procedures, rules, and regulatory requirements.

 

BACKGROUND/EXPERIENCE:

  • Two-to-four-year minimum professional sales experience and/or proven track. record selling upscale hotel/resort properties (minimum 2 years highly preferred).
  • Professional phone skills with excellent customer service.
  • Bachelor’s degree preferred.
  • NC real estate license required.
  • Must possess excellent oral and written communication skills.
  • Must be sales and goal oriented.
  • Database and Dotloop experience are preferred.
  • Experience in MLS. 
  • Strong technical skills and mindset to leverage database systems software.
  • Proven experience with MS Office products to include Word, Excel, and Outlook. 
  • Ability to organize, prioritize, meet deadlines and multi-task.
  • Ability to work in a fast-paced environment.
  • Ability to produce consistent results.
