  • Coordinate the end-to-end administrative process for purchase requests, purchase orders, and expense claims.
  • Review supporting documents for completeness and accuracy before submission.
  • Process complete requests and claims within the agreed service timeline.
  • Communicate with requesters to clarify or correct incomplete documentation.
  • Coordinate with Finance, Procurement, and relevant internal teams to ensure smooth processing and payment.
  • Manage inventory records for textbooks, uniforms, stationery, school supplies, and other administrative materials.
  • Conduct regular physical stock checks and reconcile physical quantities against records.
  • Investigate and report discrepancies and coordinate corrective actions.
  • Maintain accurate records of stock movement, receiving, issuing, and remaining balances.
  • Monitor stock levels and coordinate replenishment when necessary.
  • Maintain the school’s fixed asset and equipment records.
  • Register and update newly acquired assets upon receipt.
  • Coordinate asset tagging, relocation, transfer, disposal, and related documentation.
  • Conduct periodic physical asset verification and reconcile discrepancies.
  • Ensure asset records are accurate, complete, and up to date.
  • Act as the key contact person for all government and regulatory matters on behalf of the school.
  • Coordinate and communicate with relevant government agencies and external authorities on school-related matters.
  • Manage timelines and follow up on pending requests, approvals, registrations, licenses, and other government-related processes.
  • Maintain an organized record of government correspondence, submissions, approvals, requirements, and follow-up status.
  • Communicate relevant regulatory updates, requirements, and actions to the School Management and responsible teams.
  • Coordinate internal teams to ensure the school responds to government requirements accurately and within the required timelines.
  • Coordinate the creation, modification, deactivation, password resets, and access permissions for email, security and printer accounts for teachers, staff, and students.
  • Monitor and review CCTV footage when incidents occur to support incident investigation, fact-finding, and appropriate follow-up actions.
  • Coordinate with IT or system owners for issues requiring technical support.
  • Follow up with parents/guardians regarding overdue payments through appropriate communication channels.
  • Coordinate with Admissions, Finance, and School Management on payment status, payment plans, and exceptional cases.
  • Support the implementation of agreed payment plans, extensions, or other collection arrangements.
  • Provide day-to-day administrative support to ensure smooth school operations.
  • Identify gaps or inefficiencies in administrative processes and propose practical improvements.
  • Implement process improvements that enhance efficiency, tracking, documentation, communication, and cross-functional coordination.
  • Support administrative operations across Crest School and Mastery School as assigned.

What You’ll Bring

  • Bachelor’s degree in Business Administration, Management, Education, or a related field.
  • 1–3 years of experience in school administration, office administration, operations, or a related role.
  • Experience in coordinating with multiple internal teams and external stakeholders; experience in an educational institution is a plus.
  • Good command of written and spoken English.
  • Proficient in Microsoft Office / Google Workspace, particularly Excel or Google Sheets.
