Perform daily payroll department operations for Mission Healthcare.
Manage workflow and ensure payroll transactions are processed accurately and timely.
Email new hires as welcome email to confirm their items (address, direct deposit, taxes)
Email supervisors about their hires to help remind to review their HCHB entries / hours.
Create a Misc. Batch in Paylocity - Corrections from emails at the beginning of the pay periods
Be part of the process bi-weekly and off cycle payrolls, reviewing earnings, status changes, processing and distribute payroll register as need it. Import special pay data in Payroll batch, Ensures proper processing of payroll deductions for taxes, benefits, and other deductions.
Maintain and Add to the Payroll Tracker list (All that needs to be review for potential errors). Audit Tax setup for new hires, if anything out of the ordinary reach out to HR Team for support. Understand proper taxation of employer paid benefits. Manage the Benevolent Program.
Send an email to all employees using the timecard system to be sure they review and approve their timecards. Add Vacations & Sick hours for LOA employee’s timecards in Payroll system. Enter all Benefits repayments coming from Benefits department.
Ensure all Mission locations meet proper cut-off dates and adhere to stated payroll deadlines.
Provides backup support for the Accounting Department as needed.
Screens timecards daily, enters timecard data with supervisor approval (as needed), reviews keyed entries, and verifies accuracy of data entry both daily and weekly for reasonableness and consistency.
Communicates with supervisors to correct and fix timecard issues.
Correspond with and for employees regarding payroll printouts of earnings, W-2’s, information requests and/or letters for employees’ wage information.
Processes voids, manual checks, review and enter payment adjustments, process garnishment payments.
First line contact for all employees regarding timecard records, payroll deductions, OT, pay, etc. via payroll email and Zendesk
Continuously research and communicate wage and hour laws along with other payroll updates and regulations.
Collaborate with HR Team regarding specific initiatives, programs or company-wide issues affecting Mission Healthcare payroll process.
Conducts business in a manner that displays a high level of confidentiality, sensitivity and integrity always.
Additional responsibilities as assigned.
College degree or equivalent work experience.
2-5 years’ experience processing payroll preferred.
Excellent written and verbal communication skills; ability to communicate complex benefit concepts in an understanding and empathetic manner.
Ability to handle confidential matters and information with the highest level of discretion.
Proficient in Microsoft Office with an emphasis in Excel.
Prioritize daily issues, tasks and projects in a fast-paced environment.
Comfortable working independently; self-starter with a strong work ethic and sense of urgency.
