~1 min readThe Dealer Development Specialist is critical to maintaining operational continuity within the Dealer Development Team. The position supports the administrative, procedural, and compliance-related functions of the Dealer Package Management System (DPMS) and ensures required dealer documentation, activations, renewals, and system updates are completed accurately and on time.
This role supports business operations by ensuring documentation is processed in accordance with established requirements, helping mitigate operational and legal risk by maintaining accurate records and supporting cross-functional coordination between Headquarters, regional teams, and dealers.
The Dealer Development Specialist is responsible for providing administrative, procedural, and system-based support to the Dealer Development Team. The role supports established dealer development processes by ensuring required dealer documentation is collected, logged, reviewed for completeness and accuracy against defined criteria, and entered into company systems in support of dealer activations, buy/sells, and renewals.
The position maintains dealer records in DPMS and DMS in accordance with documented procedures, performs initial completeness reviews of dealer proposals and agreement packages using approved checklists and templates, and prepares recurring and ad hoc reports. The role also provides administrative and coordination support for meetings and regional activities.
Accuracy and attention to detail are critical due to the compliance-oriented nature of the work.
- Ensure all required dealer documents are received, tracked, and reviewed for completeness and accuracy based on established requirements, and routed for appropriate review and approval
- Perform data entry, updates, and status tracking within the Dealer Package Management System (DPMS) in accordance with documented procedures
- Maintain dealer records and updates within DPMS and DMS following established workflows
- Conduct initial completeness and accuracy reviews of dealer proposals and agreement packages using standard checklists and templates, escalating discrepancies as needed
- Perform pre-code validation checks using established criteria and complete dealer coding following documented workflows
- Support dealer agreement renewals by tracking status, preparing documentation, and coordinating required updates
- Prepare, generate, and distribute standardized weekly and ad hoc reports (renewals, EV readiness, finance hold, flooring, etc.) using established formats
- Oversee and distribute dealer e-leads to appropriate regional personnel within 48 hours of receipt
- Perform dealer flooring reviews and monitor the Dealer Flooring Inbox in accordance with defined procedures
- Attend Franchise Executive Committee meetings and document outcomes by preparing formal meeting minutes for review and approval
- Prepare draft addendums for Dealer Sales & Service Agreement renewals using approved templates and language
- Send and track dealer-related communications and mailers (Visual Identity Totems, regional dealer leads, etc.)
- Schedule regional calls and follow-up activities as directed
- Provide administrative and coordination support to internal and regional stakeholders as needed
- Other job duties as assigned
First 90 Days - Getting Up To Speed
- Learn and follow documented procedures for DPMS and DMS
- Accurately review assigned dealer documentation
- Perform dealer flooring reviews and inbox monitoring
- Distribute dealer e-leads within 48 hours
- Prepare draft renewal addendums and assist with dealer coding
- Generate and distribute recurring reports using standard templates
- Attend meetings and prepare draft meeting minutes
Year 1 - Victory Lap
- Maintain 100% accuracy for assigned dealer records and documentation
- Independently complete assigned procedural tasks related to dealer activations, buy/sells, and renewals in accordance with documented processes
- Meet established timelines for renewals, reporting, and system updates
- Demonstrate consistent reliability in supporting regional teams and compliance activities
- Effectively escalate issues outside of defined procedures to appropriate stakeholders
- 2+ years of experience in administrative, operations, coordination, or support role
- Demonstrated ability to follow detailed procedures independently and complete work with a high degree of accuracy
- Experience handling confidential or compliance-sensitive information
- Strong organizational and time-management skills
- Proficiency with Microsoft Office tools (Outlook, Word, Excel)
- Effective written and verbal communication skills
- Ability to manage multiple tasks within defined timelines
- Bachelor’s degree or equivalent combination of education and relevant experience
- Experience supporting dealer networks, franchise operations, or automotive retail environments
- Familiarity with dealership operations or franchise documentation
- Experience using dealer management, package management, or document management systems
- Intermediate Excel skills (tracking, reporting, data validation)
- Experience preparing reports or meeting documentation for cross-functional teams

~1 min readThe base salary for this position ranges between $27.88 to $30.29/hour. The base salary will be based on a number of factors including the role offered, the individual's job-related knowledge, skills, and qualifications.
