An Indigenous Advocacy Representative Organization representing, promoting and advancing the self-governing institutions and services of the off-reserve Aboriginal/Mi’kmaq of Nova Scotia, “Going Forward To A Better Future”. To further the objective of improving the social, cultural, educational and employment situation of the off-reserve Mi’kmaq/Aboriginal people.
POSITION TITLE: APTEC Employment Support Clerk
LOCATION SETTING: NCNS Dartmouth Provincial Office
EMPLOYMENT ROLE: Program and services support role
POSITION SCOPE:
Reporting directly to the APTEC Manager of the Native Council of Nova Scotia, the APTEC Employment Support Clerk will perform a variety of functions to best support programs and services situated at the assigned NCNS office location. The position will be required to both take direction and work intuitively to support the program’s goals and objective in a professional and culturally appropriate manner. The APTEC Employment Support Clerk is also responsible to ensure that administrative procedures are followed and communication with the public is carried out in a professional and courteous manner. The position shall also provide daily support to the APTEC Service staff as required.
Given the nature of work and the multiple actions associated with NCNS program and service delivery and the very sensitive information gathered in an array of formats, any breach of confidentiality would be deemed as just cause for immediate dismissal.
TYPICAL DUTIES:
- Handles office interactions with outside visitors, this includes greeting and directing guest and clients of our services, answering phone inquiries and handling requests or complaints in a professional manner;
- Keep track of staff schedules and report such as directed by HR Manager;
- Keep track of inventory and office equipment, order supplies from the Manager as required;
- Occasionally travel off-site to assist with career fairs, information sessions or attend training;
- Maintain files with confidentiality as directed by the Program staff;
- Coordinate communication between various program staff, schedule meetings, distribute reports/mail;
- Assist program staff in the set up of workshops, career fairs or information sessions;
- Performs clerical functions such as preparing responses to emails, informing the public on services available, redirecting inquiries of the public to appropriate staff;
- Posts job opportunities and information on NCNS Program social media sites;
- Provides website updates to the HR Manager on program or service information changes;
- Understands and adheres to NCNS policies and procedures;
- Any other duties and tasks as directed by the APTEC Manager
QUALIFICATIONS:
- Administrative Assistant diploma or related certificate or degree;
- Minimum of 6-month experience in a similar position;
- Possess knowledge, respect and sensitivity to Indigenous culture and be committed to helping the service strengthen and achieve a beneficial employment and training service for this client group;
- Understand the value diversity;
- Must possess strong organizational, evaluation and problem-solving skills;
- Must be able to communicate effectively in writing and verbally;
- Working knowledge of Microsoft Office, Excel and Presentations;
- Fluidity in email applications and web research;
- Must be able to work flexible hours;
- Must be willing to authorize a criminal record check and vulnerable sector check.
POSITION AND TERM:
- Term position with possibility of renewal;
- Hours of work will be from 8:30 am to 4:30 pm, Monday to Friday, some nights and weekend work may be required;
- Holidays and vacation as per NCNS office policy and procedures;
- Rate of pay: $24.00 – $25.80 per hour (paid on a bi-weekly salary) at 35 hours per week.
