The Marketing Coordinator / Admin Support will be responsible for providing end-to-end administrative, documentation, and creative support across marketing and submission-related activities. This role plays a key part in preparing Expression of Interest (EOI) submissions, maintaining accurate documentation, supporting marketing content, and ensuring all outputs are delivered with high quality and within strict deadlines. The ideal candidate is highly organised, detail-oriented, creative, and comfortable working in a fast-paced, deadline-driven environment with AI-assisted tools.
Prepare, compile, and complete EOI and tender-style submission documents using established templates.
Ensure accuracy, consistency, and compliance with submission requirements prior to deadlines.
Provide day-to-day administrative support including formatting documents, maintaining files, managing trackers, and handling internal correspondence.
Ensure documentation is properly organised and easily accessible for the team.
Assist in developing and refining content for marketing materials, proposals, and submissions.
Support layout structuring, copy editing, and AI-assisted writing to enhance clarity and impact.
Proofread all documents, submissions, and marketing materials to ensure grammatical accuracy, formatting consistency, and adherence to brand standards.
Perform final quality checks prior to submission or publication.
Support the marketing team with content scheduling, basic social media posting, and simple design adjustments as required.
Assist in coordinating small marketing campaigns and creative initiatives.
Manage multiple tasks with tight deadlines while maintaining accuracy and quality.
Communicate progress updates clearly and support workflow coordination across stakeholders to ensure timely delivery.
- Experience in administrative support, marketing coordination, or submissions/EOI preparation
- Strong written communication skills with attention to detail
- Highly organised with the ability to manage multiple deadlines
- Experience working in fast-paced, deadline-driven environments
- Creative mindset with ability to support content development and refinement
- Strong stakeholder communication and coordination skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Familiarity with Adobe Suite (InDesign, Photoshop, Illustrator – highly desirable)
- Comfortable using AI writing tools (e.g., ChatGPT or similar) for content support
- Basic understanding of content management or social media scheduling tools (preferred)
