Our client is a US multi-brand residential and commercial roofing and exteriors group that operates across more than a dozen states through a family of regional brands, with a large share of its work driven by storm damage restoration and insurance claims. This role owns the day-to-day administration of their safety, insurance, and risk program: the written safety program and training for their W-2 workforce, OSHA 300, 300A, and 301 recordkeeping, employee incident investigation, workers’ compensation claims support, and the certificate of insurance and subcontract documentation program that covers the independent subcontractors who perform all installation work.
Responsibilities
~1 min read- →Develop, maintain, and update the written safety program for the company’s W-2 population, including outside sales employees, operations, canvassers, and office staff
- →Build and deliver remote safety training for employees, with particular attention to outside sales employees, canvassers, and other W-2 roles that operate at an operational level
- →Develop and maintain training and guidelines on ladder safety, roof access and fall hazards during sales inspections and measurements
- →Maintain emergency action plans, hazard communication, and heat illness materials for applicable locations and states
- →Manage training assignments, completion tracking, and recertification schedules
- →Conduct incident investigations for employee incidents, including root cause analysis, corrective action assignment, and closure verification
- Administer OSHA 300, 300A, and 301 recordkeeping for employees, including the annual posting and electronic submission where applicable
- Apply the recording criteria correctly so that recordable cases are recorded and non-recordable cases are not
- Track and interpret federal OSHA and state plan requirements across the operating states, including Michigan, and update internal standards accordingly
- Prepare records for OSHA inspections and maintain retention schedules
- Administer the certificate of insurance program, including general liability, workers’ compensation and auto coverage verification, additional insured and waiver of subrogation endorsements, and expiration tracking
- Maintain subcontractor documentation files, including licensing, W-9s, executed subcontract agreements, and required insurance
- Maintain and update safety- and insurance-related contract language in subcontract agreements, so that obligations are established contractually
- Verify that documentation is complete and current before a subcontractor is approved for work, and escalate lapses
- Maintain records sufficient to demonstrate that subcontractor safety obligations are contractual and that the company does not direct or train subcontractor personnel
What We Offer

- Keep employee safety training, policy, and communication materials separate from subcontractor contracts and insurance administration
- Never issue training, equipment, PPE, work direction, or corrective discipline to subcontractor personnel
- Flag any proposed practice that would extend company direction or training to subcontractors, and escalate it to the Vice President of Compliance & Safety
- Maintain a centralized, audit-ready documentation system covering employee training, incidents, corrective actions, claims, and subcontractor insurance and contract files
- Manage retention schedules and prepare records for insurance audits, customer prequalification, and litigation holds
- Produce leadership reporting on incidents, claims, insurance compliance, and program gaps
Requirements
~1 min read- Minimum three years in safety, risk or compliance administration
- Working knowledge of OSHA and state plan variations
- Demonstrated experience with OSHA recordkeeping and reporting obligations
- Experience administering workers’ compensation claims and working with carriers and brokers
- Experience with certificate of insurance management and contractor documentation compliance
- Understanding of the distinction between W-2 and 1099 engagements and the ability to operate within it
- Strong policy drafting and written communication skills
- Proven ability to work fully remote across multiple states with minimal supervision
- Availability on US Eastern business hours, which is an overnight schedule in the Philippines
- Construction, roofing, restoration, or trades industry background
- Experience in an organization that used independent contractors, where company training and direction had to be kept separate from them
- Experience building remote training for a distributed, non-desk workforce
- Experience with fleet and driver safety administration: motor vehicle record review, driver qualification files, accident reporting
- Exposure to a state plan jurisdiction rather than federal OSHA alone
- Experience preparing records for an OSHA inspection, an insurance audit or a customer prequalification
- OSHA recordkeeping forms and the Injury Tracking Application for electronic submission where applicable (primary regulatory surface)
- Spreadsheets—expiry tracking, training completion, claims and loss reporting, leadership dashboards
- Document management systems—the centralized, audit-ready file system covering training, incidents, claims, and subcontractor insurance and contract files
- Learning or training assignment platforms and remote delivery tools for live training sessions
- E-signature platforms for subcontract agreements and acknowledgements
- Microsoft Teams and OneDrive—communication and file sharing with Remote Raven
- You can say out loud, without looking it up, why one injury goes on the 300 Log and a similar-looking one does not
- You know that a certificate arriving is not a requirement met, and you check coverage, limits, additional insured, and waiver of subrogation against what the subcontract actually requires
- You understand why a company that uses independent contractors has to establish safety obligations contractually rather than by training them, and you can hold that line when someone well-meaning asks you to cross it
- When an incident comes in, you open the file and route it the same day rather than waiting until the picture is complete
- You write policy that people can actually follow, and your written English goes to a broker, a carrier or an executive without anyone editing it
- Audit-ready means audit-ready to you: you could hand over training, incident, claim and subcontractor files tomorrow without a scramble
- You want program administration, not field safety work, and you are clear-eyed that this role never leaves the desk
