Wilson Builders is a family-owned, high-end residential remodeling company based in Jupiter, Florida, specializing in custom renovations and luxury home improvements throughout the surrounding region. Unlike large general contractors, Wilson Builders operates as a boutique, owner-led construction firm, where both craftsmanship and client experience are deeply personal. Every project is closely managed by the owners, with a strong emphasis on quality, communication, and accountability.

About the Role:

As our Office Manager, you are the glue that holds our business together. We are a family-owned team in Jupiter, Florida, that creates high-end custom homes, and we need someone to run a tight ship behind the scenes. You’ll be the go-to person for everything from QuickBooks and billing to permits and paperwork. This is a great role for someone who loves to be organized, enjoys working directly with owners, and wants to see exactly how their work helps build beautiful homes.

Key Responsibilities:

Primary Tasks

  • Billing & QuickBooks management
  • Email processing & organization
  • Bill preparation & review
  • Insurance audit report pulling
  • Permitting & form management
  • General ad hoc administrative tasks

Secondary tasks - as capacity allows:

  • Construction document management
  • Maintaining updated permitting files & plans
  • Scheduling inspections

Required Qualification & Skills:

  • Strong experience with QuickBooks (required)
  • Minimum 2 years office management/back-end experience
  • Experience in the construction industry (or open to learning)
  • Strong administrative capabilities
  • Familiarity with tools like Excel, BusyBusy, and (ideally) Bluebeam
  • Highly organized with strong attention to detail
  • Strong English communication skills (written and verbal)
  • Comfortable working directly with business owners in a fast-moving, hands-on environment
  • Passion for learning & growth mindset
  • Ability to learn quickly & adapt

Preferred Qualifications & Skills:

  • Estimating experience with blueprints/construction documents
  • Office management diploma (not required)
